Job Summary
Fulfills the mission of Norwich University by serving as the principal administrator for cadet personnel systems data management and records. Responsible for the management and integrity of all non-academic cadet records including training and personnel documentation. Ensures cadet administrative processes duty assignments housing promotions evaluations awards and recordkeeping are executed accurately on time and consistently.
Essential Functions
- Cadet Records & Systems Management
- Responsible for the management and maintenance of all non-academic cadet records including training records.
- Administers data entry and quality control of cadet directory information in Banner/Ellucian SaaS
- Responsible cadet roster uploads for class registration for the Corps of Cadets non-credit courses
- Maintains accurate records of cadet rank job and room assignments and personnel actions.
- Ensures compliance with institutional policies related to recordkeeping privacy and data integrity.
- Receives and processes cadet evaluation reports.
- Manages the Corps cadet promotion system.
- Prepares and publishes Unit Manning Report (UMR).
- Prepares and publishes annual Order of Merit Lists (OML).
- Coordinates promotion board schedules and administrative requirements.
- Drafts and publishes promotion orders.
- Administers data entry of cadet rank and promotion results into Ellucian SAS.
- Oversees Commandants Staff and Corps of Cadets Knowledge Management System.
- Awards & Recognition
- Oversees and processes cadet awards unit recognition and streamer programs.
- Coordinates with Commandant staff ROTC units and university departments as required.
- Ensures accuracy and timeliness of all awards documentation and records.
- Cadet Leadership Training & Mentorship
- Mentors advises and supervises cadets assigned to Reg and Bn S1 staff sections.
- Oversees work-study cadets assigned to the office.
- Provides instruction and training to assigned personnel in the performance of their duties.
- Develops cadet proficiency in personnel management accountability and administrative systems.
- Coordination & Liaison
- Serves as the primary point of administrative contact for cadet personnel records and related matters.
- Acts as liaison with university offices ROTC detachments and external stakeholders regarding policies programs and requests for information.
- Coordinates with Commandant staff sections to ensure unity of effort across operations and administration.
- Serves as Office of the Commandant lead for Arrival Days.
- Serves as Staff Duty Officer on a rotational basis.
- Represents Commandants Officed for information technology issues and matters.
- Briefs prospective cadets and families on the Corps experience on a rotational basis.
Other Functions
- Maintains confidentiality of sensitive or private information.
- Communicates with employees students and others in a respectful and clear manner.
- Serves on University committees councils workgroups or other designated bodies as assigned.
- Achieves maintains proficiency in and utilizes computers telephones and other job-related equipment including related systems and software.
- Speaks reads and writes in English.
- Communicates by telephone email letter in person or other means or device.
- Performs other tasks as assigned by supervisor.
- Bachelors degree required
- Military experience is a plus particularly in personnel adjutant or S1 functions.
- Demonstrated strong competency in administrative management and the knowledge or ability to learn Banner and Ellucian SAS with strong organizational skills and attention to detail.
- Demonstrated skills in leadership mentorship and training.
- Effective written and verbal communication skills.
- Ability to handle sensitive information with discretion and professionalism.
- Must meet uniform wear standards per Army Regulation 670-1.
- Proficiency in MS Office (Word Excel SharePoint Teams and Outlook)
- Able to sit squat reach push pull and manipulate related equipment; lift 15 pounds; travel outdoors to various parts of the campus
- Available for early mornings evenings and weekends.
Environmental Conditions
- Indoor work at a computer station and outdoor work in varied weather.
- Medium level of exposure to noise dust fumes vibrations and temperature changes.
