Accounts & Payroll Coordinator
Job Summary
This is a remote position.
We are seeking a detail-oriented and proactive Accounts & Payroll Coordinator to join our finance and operations team. This role is central to our internal financial health managing the full cycle of payroll and accounts payable functions. You will ensure our internal operations run as smoothly and efficiently as the services we provide to our clients.
Process bi-weekly or monthly payroll ensuring accuracy and timeliness.
Manage time and attendance systems and verify timesheets.
Handle employee changes (new hires terminations direct deposits deductions).
Ensure payroll activities comply with all federal state and local laws.
Maintain accurate payroll records and support month-end closing activities.
Generate payroll reports for management and auditing purposes.
Receive review and process vendor invoices ensuring proper GL coding and approval.
Prepare and process payments (check ACH wire) in a timely manner.
Reconcile vendor statements and resolve discrepancies.
Process employee expense reports and manage the accounts payable mailbox.
Reconcile the AP sub-ledger to the General Ledger monthly.
Experience: Minimum 1-3 years of combined experience in Accounts Payable Payroll and/or Bookkeeping.
Technical Skills: Proficiency with accounting and payroll software (e.g. QuickBooks Online Xero or similar) and advanced Microsoft Excel skills (VLOOKUPs PivotTables).
Industry Knowledge: An understanding of financial services regulatory compliance or operational support is a strong plus given our client base.
Soft Skills: Exceptional attention to detail strong organizational skills the ability to meet critical deadlines and the discretion to handle sensitive information.
Education: A Bachelors degree in Accounting Finance or a related field is preferred.

Required Skills:
Proven experience in customer service client support or call center role (financial services or consulting experience is a plus). Exceptional written and verbal communication skills. Strong problem-solving abilities and attention to detail. Excellent organizational and time-management skills. Ability to multitask and prioritize responsibilities effectively. Professional and customer-focused attitude. Basic computer proficiency and comfort learning new systems. Reliable high-speed internet connection and a dedicated quiet home office setup. Preferred Experience in a consulting professional services or B2B environment. Familiarity with CRM platforms (e.g. Salesforce HubSpot). Typing speed of 40 WPM or higher. Understanding of data privacy and the importance of handling sensitive information.
