Pay Range: $20.00 - $22.00/Hour Employment Status: Permanent Full Time
Probation: 180 Days Lunch: One Hour-Unpaid
Work Hours: 40 Hours/Week
Nature of Work in this Class:
A position in this class provides administrative assistance in the Business Department with oversight receiving checking and recording cash and other items of monetary value. Performs functions in Accounts Payable Accounts Receivable Bookkeeping and Payroll. Assists with usage tracking and inventory control.
Essential Functions:
- Processes purchase requests purchase orders and bills for all agency funds.
- Services resident escrow and program accounts while maintaining careful documentation.
- Collects processes and/or distributes receipts invoices packing slips and other documentation.
- Operates with computers printers adding machines faxes copiers and other technology; performs data entry and query tasks on computer.
- Maintains daily monthly yearly and other on-going records of all transactions.
- Prepares reports and other documents necessary as directed for function of department.
- Assists all agency staff with questions and work as relates to departmental functions.
- Maintains strict confidentiality with respect to information obtained and processed in the operation of the facility.
- Serves as primary back-up for Personnel Clerk and other Administrative staff.
- Assists in tracking usage and maintaining inventory control mechanisms.
- Performs related work as required.

Knowledge Skills and Abilities:
- Accuracy and speed in processing and computing transactions.
- Ability to work and problem solve independently.
- Advanced working knowledge of spreadsheets databases and other computer software.
- Knowledge of modern office practices and procedures.
- Knowledge of the principles methods and practices of bookkeeping.
- Knowledge of departmental bookkeeping and cashier procedures and regulations.
- Ability to accurately calculate numbers.
- Ability to sit continuously at a computer terminal for long periods.
- Skills in oral and written communication.
- Ability to operate standard office equipment including copier computer adding machine/ calculator scanner or printer / scanner and fax.
- Ability to reach into file drawers in standard filing cabinets.
- Visual ability sufficient to effectively operate office equipment; to read small print and prepare financial reports correspondence and instructions.
- Visual ability to read prepare reports and complete forms.
- Hearing ability sufficient to hold conversation with other individuals both in person and by telephone.
- Speaking ability sufficient to communicate effectively with other individuals in person and by telephone.
- Ability to remain calm in tense situations.
Minimum Security Correctional Center setting; moderate noise.
Physical Demands:
Significant sitting talking listening and reaching with hands and arms.
Communications:
Conveys and receives information in courteous and professional manner in person by telephone and/or electronically via email fax or other device.
Qualifications:
Any combination of training and work experience which indicates possession of the skills knowledge and abilities listed above. A high school diploma or general equivalency diploma required. One year of experience as a bookkeeper / cashier or similar fiscal position preferred.
