Job Summary
This position will provide administrative support and report to the nursing program director/dean to support the nursing program while coordinating and balancing the day-to-day operations in a medical office or clinical setting. This position needs the ability to adapt direct and multi-task and should demonstrate exemplary organizational skills.
Clinical Responsibilities
- Create packets to send out to clinical sites as needed (includes information on CPR immunizations physicals etc.)
- Collects immunizations
- Collect COVID and other medical results from students and faculty then submit to clinical facilities on a weekly basis.
- Review follow up and track immunizations for students and faculty; ongoing task.
- Collect and update students and team for immunizations and physicals and other records as needed; update program specific forms as needed for clinical coordination
- CPR Responsibilities (as appropriate)
- Create clinical binders each term for clinical rotation for all cohorts. Occasionally deliver binder(s) to the clinical facility as needed.
- Work with clinical facilities on any documentations requested
- Clinical Site Evaluations: collect results & file (or give to Admin to file per policy)
Administrative Assistance
- Assist with maintaining information tracking sheets for academics.
- Assist with scanning of documents for academics
- Operates a variety of office equipment; computer printer photocopies facsimile scanner and calculator.
- Responsible for auditing faculty and academic files for academic programs and notifies appropriate individuals of missing or outdated documentation
- Guide students through the nursing board application NCLEX process and follow up as needed. Prepare Record of Nursing forms; send out to student complete the form and submit to board of nursing. Coordinate live scan and follow through with all live scan documentation.
- Assist with updating program specific forms.
- Assists deans/directors with uploading advisings change in student status for graduation withdrawals and other records including scanning & uploading documents to CVUE and various databases
- Responsible for auditing faculty & student files for academic programs and notifies appropriate individuals of missing or outdated documentation.
- Ability to travel to different campuses as needed
- Take meeting minutes (including faculty committee PAC Student Rep meetings)
- Assist with Student and Campus Activities (pinning graduation regulatory meetings)
- Schedule and follow up on PRQ interviews.
Other duties as assigned
Qualifications :
- High school or equivalent certificate
- 2 years of Administrative related experience supporting a team or multiple teams
- Ability to maintain records
- Learn & maintain information on Microsoft Office 365 (Word Excel PowerPoint) and Teams
- Ability to shift quickly from one task to another maintaining productivity Must be capable of communicating effectively verbally and in writing
- Has medical terminology knowledge or work experience in health care
