Wealth Management Administrator

We are recruiting on behalf of our client a respected wealth management firm for a Wealth Management Administrator to join their Wealth Planning team. This is a fantastic opportunity for a detail-oriented administrator to support a team of Wealth Planners in delivering excellent outcomes for their clients.
Youll provide vital administrative and client support acting as a first point of contact with internal client services teams and external product providers while ensuring all work is carried out accurately and in line with our clients compliance framework.
The role also involves supporting Wealth Planners at client meetings managing client administration and keeping client records accurate and up to date across the firms systems. Youll process new business applications prepare documentation and act as a trusted point of contact for clients where appropriate.
Administrative Support
- Maintain high standards of accuracy in line with our clients documentation requirements
- Support Wealth Planners with case submissions to the paraplanning team
- Handle finance-related queries including invoicing billing work-in-progress (WIP) and commissions
- Prepare accurate Service Agreements where required
- Work flexibly across different stakeholders and business areas as needed
Client Support
- Coordinate central services (paraplanning valuations business processing) to support smooth planner workflows
- Prepare and submit client due diligence (CDD) and new account documentation in line with AML procedures
- Arrange client meetings and valuations prepare meeting packs and manage planners diaries
- Complete post-meeting actions and produce accurate meeting minutes
- Act as a first point of contact for general client queries escalating complex matters to the relevant Planner and adapting your approach sensitively for clients in vulnerable circumstances
- Greet and host clients at meetings where required
- Manage client correspondence and post
- Prepare letters of authority for signature
- Prepare client application forms in line with suitability report recommendations ensuring timely and accurate processing
- Maintain accurate client records on the firms CRM/planning system
- Follow all internal processes and procedures as required
Additional Responsibilities
- Contribute ideas for efficiency improvements and share best practice with colleagues
- Carry out other reasonable duties as directed by management
- Complete technical and other training as required
- Stay up to date with industry and market developments undertaking and recording CPD
Technical
- Understanding of the end-to-end wealth/financial planning process (full training provided for those new to the role)
- Good working knowledge of financial planning products
- Previous administration experience (desireable)
- Recent graduates looking to enter into Wealth Planning will also be considered
Systems
- Proficient in Microsoft Office (Word Excel Outlook)
- Experience with a client/planning management system such as XPlan (desirable)
- Experience with cash-flow modelling software (desirable)
Regulatory Awareness
- Understanding of relevant regulatory and compliance requirements with the ability to identify and escalate concerns appropriately
