Job Summary

What Youll Do:

The Traffic & Resource Manager is responsible for the effective scheduling allocation and optimisation of agency resources across a high-volume portfolio of creative and marketing work. Working within Generation - VodafoneThrees in-house creative agency this role ensures the right people are assigned to the right projects at the right time balancing delivery priorities team capacity capability requirements and deadlines across multiple brands and stakeholder groups.

This role plays a central part in enabling the smooth and efficient operation of the agency acting as the key point of control for workflow resourcing and delivery visibility. The Traffic & Resource Manager works closely with Project Management Creative Production and Agency Operations teams to manage incoming demand resolve resource conflicts maintain workflow momentum and support consistent delivery performance.

The role requires strong organisational judgement excellent communication skills and the ability to make timely decisions in a fast-paced environment where priorities frequently shift. The Traffic/Resource Manager is accountable for maintaining a clear view of agency capacity and ensuring resources are used as effectively as possible to support business needs team wellbeing and high-quality creative output.

 

Key Responsibilities:

1. Resource Planning and Allocation

  • Own the day-to-day allocation of creative studio copy design production and other agency resource across live and upcoming projects.
  • Match project requirements with available resource balancing skills capacity deadlines complexity and development opportunities.
  • Maintain an accurate and up-to-date view of team availability utilisation and workload across the agency.
  • Work with Project Managers and functional leads to assess resource needs identify gaps and make informed allocation decisions.
  • Re-prioritise resource plans quickly and effectively in response to changing business needs urgent requests delivery risks or shifting deadlines.

 

2. Workflow and Traffic Management

  • Manage the flow of work through the agency ensuring briefs are scheduled appropriately and progress is visible across all active jobs.
  • Act as the central point of coordination for workflow planning helping to ensure work is started progressed and delivered in line with agreed priorities.
  • Run and maintain workflow and traffic processes including scheduling meetings daily or weekly reviews priority discussions and allocation updates.
  • Identify bottlenecks over-capacity risks under-utilisation and workflow inefficiencies taking action or escalating where needed.
  • Ensure all work is routed through the correct process and that changes to schedules or priorities are clearly communicated to relevant teams.

 

3. Capacity Management and Forecasting

  • Monitor short- and medium-term agency capacity highlighting pressure points future demand risks and opportunities to improve resource efficiency.
  • Support demand planning by providing visibility of current and forecast workload across teams brands and project types.
  • Track utilisation trends and resource patterns to inform planning decisions and support more effective workforce deployment.
  • Work with Agency Operations and team leaders to recommend actions where demand exceeds capacity including schedule changes reprioritisation or freelance support.
  • Help maintain a balanced workflow that supports both delivery performance and sustainable team workload.

 

4. Stakeholder and Team Coordination

  • Build effective working relationships with Project Managers creatives producers team leads and operational stakeholders to enable smooth resource planning and delivery.
  • Provide clear and timely communication on resource availability scheduling decisions workflow changes and delivery implications.
  • Support stakeholders in understanding capacity constraints trade-offs and prioritisation decisions.
  • Act as a trusted point of contact for day-to-day resourcing matters resolving issues quickly and constructively.
  • Collaborate closely with agency leadership and operations teams to ensure resource decisions align with business priorities and service expectations.

 

5. Systems Reporting and Process Improvement

  • Maintain and optimise the use of agency resource management and workflow tools ensuring data quality and reporting accuracy.
  • Produce regular reporting on resource allocation utilisation capacity workflow performance and delivery risks.
  • Use data and operational insight to identify trends improve planning accuracy and support continuous improvement in agency ways of working.
  • Contribute to the development and refinement of traffic management processes governance and best practice.
  • Support the consistent adoption of resource planning tools and processes across the agency.

 

6. Freelance and Flexible Resource Coordination

  • Support the identification of freelance or temporary resource requirements where internal capacity or specialist capability is insufficient.
  • Work with Agency Operations and relevant team leads to coordinate freelance bookings in line with approved processes and budget controls.
  • Help ensure external resource is effectively scheduled and integrated into the wider agency workflow.
  • Track the use of contingent resource to support accurate planning reporting and operational oversight.

Qualifications :

Who You Are:

  • Strong experience in traffic workflow resource management or agency operations within an in-house creative agency studio marketing or similar delivery environment.
  • Proven ability to manage and prioritise resource allocation across multiple concurrent projects and competing demands.
  • Strong understanding of creative and production workflows including the dependencies between briefing creative development review approval and final delivery.
  • Experience using resource management workflow or project planning tools to manage schedules utilisation and capacity.
  • Strong judgement and decision-making skills with the ability to balance business urgency team workload and delivery quality.
  • Confident communicator able to work effectively with project creative and operational stakeholders at different levels.
  • Strong attention to detail with the ability to maintain accurate schedules and resource data in a fast-moving environment.
  • Experience identifying workflow risks bottlenecks and resourcing pressures and taking action to resolve or escalate them appropriately.
  • Good analytical capability with the ability to interpret utilisation capacity and workflow data to support better planning decisions.
