School Administrator Role

The school is seeking an organised reliable and proactive School Administrator to join its administrative team on a permanent basis.

The successful candidate will provide comprehensive administrative support across the school office and will work closely with senior leaders teaching staff students parents and external visitors.

The position will involve a varied range of responsibilities making it particularly suitable for someone who enjoys working in a busy environment where no two days are exactly the same.

Responsibilities will include maintaining accurate records preparing correspondence dealing with enquiries supporting meetings and assisting staff with general administrative requirements.

The School Administrator will also be expected to communicate professionally with parents and carers ensuring that enquiries are handled efficiently and appropriately.

A key part of the role will be maintaining confidentiality when dealing with student staff and school information. The successful candidate must understand the importance of handling sensitive information appropriately and following school procedures at all times.

Key Responsibilities
  • Provide efficient day-to-day administrative support to the school office.

  • Answer telephone calls and respond to emails from parents students staff and external contacts.

  • Welcome visitors to the school and ensure appropriate sign-in and safeguarding procedures are followed.

  • Maintain accurate electronic and paper-based records.

  • Prepare letters reports forms meeting documents and other correspondence.

  • Support senior leaders and teaching staff with administrative tasks.

  • Assist with organising school meetings appointments and events.

  • Update school databases and administrative systems accurately.

  • Assist with student admissions and general pupil administration where required.

  • Support attendance administration and communicate relevant information to parents and staff.

  • Maintain confidentiality when handling sensitive student and staff information.

  • Assist with filing photocopying scanning and document management.

  • Monitor office supplies and assist with ordering stationery and administrative resources.

  • Help ensure the reception and administrative areas remain organised and professional.

  • Work collaboratively with colleagues across the school.

  • Follow school policies relating to safeguarding confidentiality data protection and health and safety.

The Ideal Candidate

The school is looking for someone with previous administrative experience who can demonstrate excellent organisation and communication skills.

Previous experience working within a school college academy independent school or other educational setting would be advantageous although strong administrative experience from another professional environment will also be considered.

You should be confident using Microsoft Office particularly Word Excel and Outlook and be comfortable learning and using school-based systems.

The successful candidate should be able to prioritise tasks effectively remain calm under pressure and communicate confidently with a wide range of people.

A friendly and professional approach is essential particularly when dealing with parents and visitors.
