School Administrator Role

The school is looking to appoint an organised approachable and dependable School Administrator to join its administration team on a permanent basis.

This is a varied role involving day-to-day school administration communication with parents and carers record keeping reception duties and supporting senior members of staff.

The successful candidate will be one of the key points of contact for parents visitors and external organisations. As a result the school is looking for someone who can communicate confidently and professionally while maintaining a friendly and welcoming approach.

Key Responsibilities
  • Provide efficient day-to-day administrative support to the school.

  • Act as a professional first point of contact for parents carers and visitors.

  • Answer telephone calls and respond to emails in a timely manner.

  • Welcome visitors and ensure appropriate signing-in procedures are followed.

  • Maintain accurate pupil records and administrative information.

  • Prepare letters forms reports and general school correspondence.

  • Support senior leaders and teaching staff with administrative tasks.

  • Assist with organising meetings appointments and school events.

  • Maintain electronic and paper filing systems.

  • Update school databases and information-management systems.

  • Support pupil admissions and new starter administration.

  • Assist with attendance administration when required.

  • Communicate appropriately with parents regarding routine school matters.

  • Process incoming and outgoing correspondence.

  • Assist with the preparation of school documentation.

  • Maintain confidentiality when dealing with pupil and staff information.

  • Support the smooth running of the school reception.

  • Monitor office supplies and assist with ordering stationery.

  • Assist with photocopying scanning and document preparation.

  • Support the administration team during particularly busy periods.

  • Ensure administrative tasks are completed accurately and within deadlines.

  • Follow school policies relating to safeguarding confidentiality and data protection.

  • Work collaboratively with colleagues across the school.

The Ideal Candidate

The successful candidate will have previous experience in administration ideally within a school college nursery education setting or other professional environment.

You should be highly organised and capable of managing several tasks at once without losing attention to detail. The school requires someone who can prioritise effectively and remain calm when the office becomes busy.

Excellent communication skills are essential. You will regularly communicate with parents pupils staff and visitors so the ability to adapt your communication style appropriately is important.

You should also be confident using standard office software and willing to learn the schools internal systems.
