Job Summary

Scheduling Administration Assistant Recurring Rota Updates

Remote office administration Staff Scheduling Full-time or part-time
per year at 37.5 full-time hours; part-time pay pro rata

A weekly staff rota often begins with a pattern but that pattern is only useful if approved exceptions appear on the correct dates. This introductory scheduling role enters recurring availability and changes supplied by the person responsible for staffing. You would check the online rota against approved instructions note overlaps and let the manager know when a change affects an existing entry. You would not decide anyones contracted hours assign an unapproved shift or settle a staffing dispute.

Set up the pattern carefully
  • Identify the correct person team and date range in the approved instruction.
  • Check whether a repeating entry already exists before adding another.
  • Use the stated start end and break information where the system requires it.
  • Make sure the repeat rule stops when the approved period ends.
  • Compare a holiday or exception date with the regular pattern.
  • Flag an overlap or missing approval for the schedule owner.
  • Check the saved rota in more than the first week to catch repeat errors.

Suppose a manager approves a Tuesday shift for six weeks except for one holiday week. Entering the repeating shift without the exception could put someone on the schedule when they are unavailable. You would check the entire date range add the exception as instructed and view later weeks to make sure the pattern resumes correctly. If an existing appointment already falls in the excluded week bring it to the managers attention rather than delete it quietly.

When the instruction changes

A later email may move the start date or replace a team member for one week. Read the latest approved instruction and check what has already been communicated. A small rota change may affect several records: the shared schedule a confirmation to staff and a list used by customer service to answer availability questions. Your job is to update assigned entries and note the change so the owner can check the downstream effects. Do not tell a customer that a particular person will be available unless the employers approved process confirms it.

The daily tasks can include:

  • Record an approved one-off exception without altering the whole repeating series.
  • Ask whether a proposed change applies to one date or all future dates.
  • Keep an earlier instruction visible as part of the change history.
  • Tell the schedule owner when two approved requests conflict.
  • Note a pending decision so a colleague does not treat it as final.
  • Check that notifications quote the correct date and time.
  • Close a task only after the assigned rota update has actually saved.

This role calls for precision rather than authority over the team. You may see the same names each week but one wrong repeat setting can multiply a mistake across many dates. A final review matters. The employer will train you on its rota tool and on which requests require management approval. Previous scheduling experience is helpful; it is not required if you can compare instructions and ask about ambiguity.

Remote working habits
  • Use a home office arrangement that lets you concentrate on dates and names.
  • Keep staff information inside the approved online scheduling system.
  • Record the source of a change where the employer requires it.
  • Look beyond the first visible week after editing a repeating entry.
  • Clarify time conventions before communicating a revised shift.
  • Ask the owner to decide when an instruction affects contracted hours.

Full-time or part-time hours may be available for the client opening. The full-time salary is shown above and part-time pay would be calculated pro rata. The work gives a manager a dependable schedule and gives colleagues a clear explanation of what is confirmed and what still needs a decision.

Apply

Tell us about a time you had to follow a repeating schedule with an exception. Examples from study volunteering or personal responsibilities are welcome if you have not held a scheduling job. We would like to see how you check more than one date before calling an entry finished.

For some applicants a later step may involve an application on the hiring companys own website. If selected you will receive the instructions for that step. The hiring team will train you in its rota and approval process.
