Title: Project Controls & Administrator

Location: Inverness

An opportunity has arisen for a Project Controls & Administrator to join the team at Galliford Try within our Investments business unit.

As Project Controls & Administrator you will perform a joint function holding responsibility for providing efficient administrative operational and project support to the Hub Scotland team.

You will play a key part in ensuring the smooth day-to-day operation of the office supporting project governance activities maintaining effective administrative systems and delivering a professional experience for colleagues partners and visitors.

Responsibilities:

  • Be the first point of contact for visitors clients and stakeholders providing a professional reception service and maintaining office security procedures.
  • Deliver comprehensive administrative support to senior management and project leadership teams.
  • Coordinate meeting room conference facilities external venues and hospitality arrangements for meetings and events.
  • Maintain office systems filing structures templates and administrative support efficient operations.
  • Manage office supplies and stock levels including ordering stationary catering and other resources as required.
  • Process supplier invoices and provide first-line support for office-based IT and SharePoint queries.
  • Support organisational KPI monitoring data collection reporting and information management activities.
  • Establish and maintain project controls action trackers project logs flash reports and governance documentation.
  • Organise meetings including scheduling agenda preparation minute-taking and action tracking.
  • Support programme and project delivery through travel coordination meeting administration progress reporting and stakeholder communication.

About You:

  • Proficient in Microsoft Office packages e.g. Word Excel PowerPoint SharePoint
  • Positive proactive and flexible approach to work.
  • Strong interpersonal skills with the ability to build effective working relationships.
  • Adaptable and willing to undertake a variety of administrative and coordination tasks.
  • Committed to maintaining confidentiality and handling sensitive information appropriately.
