The opportunity
We are looking for a proactive and highly organised Personal Assistant (PA) to join our Vario Group team. Supporting members of our leadership team youll play a key role in ensuring the smooth running of day-to-day operations providing high-quality administrative organisational and business support across the function.
You will build strong relationships with senior stakeholders manage competing priorities and help drive efficiency across a fast-paced and growing practice group.
This is an exciting opportunity for an experienced PA who enjoys variety thrives on building relationships and takes pride in delivering exceptional support.
What youll do
- Managing complex diaries meetings and appointments for senior leaders
- Coordinating UK and international travel arrangements accommodation and itineraries
- Organising internal and external meetings events and workshops
- Preparing agendas briefing packs presentations and supporting documentation
- Managing inboxes correspondence and communications on behalf of stakeholders
- Preparing and submitting expenses and invoices
- Taking meeting notes and tracking actions where required
- Supporting business development activity including client events and relationship management
- Coordinating bids proposals client reports and marketing materials
- Working closely with internal support functions including Finance IT HR Facilities and Document Production
- Identifying opportunities to improve processes and ways of working across the team
This is a collaborative role and whilst you will support designated stakeholders youll also work flexibly across the wider Vario leadership team to ensure business priorities are met.
About you
- Experience working as a Personal Assistant or in a similar role within a professional services environment
- Experience supporting senior leaders and building relationships with stakeholders at all levels
- Outstanding organisational and time management skills
- Strong attention to detail and the ability to manage multiple priorities simultaneously
- Excellent communication skills both written and verbal
- Strong Microsoft Office skills particularly Outlook Word PowerPoint and Excel
- The confidence to work independently and use your initiative
- A collaborative flexible approach and a strong customer-service mindset
- The ability to handle confidential information with discretion and professionalism
