The Opportunity
We are supporting our client with the appointment of a Personal Assistantto join its Infrastructure (Projects) team in Edinburgh. This is an excellent opportunity for an experienced PA or executive assistant to provide high-quality administrative secretarial and organisational support to a busy professional services team.

Key Responsibilities

  • Produce and amend correspondence documentation presentations and related materials using Word Excel PDF tools PowerPoint and dictation software.
  • Support client and matter opening and closing processes including conflict checks engagement documentation and liaison with internal finance and compliance teams.
  • Manage diaries meetings travel arrangements room bookings catering IT support and communications with attendees.
  • Monitor and manage email accounts including partner inboxes and inboxes for absent fee earners.
  • Support billing processes invoice preparation client fee portals purchase order queries and active matter reviews.
  • Maintain accurate filing scanning contact records and document management processes.
  • Provide administrative support for team meetings training travel expenses and wider PA group activity as required.
  • Liaise with internal support teams including Finance Facilities Reception Marketing and Communications and IT.

Candidate Profile
Essential Skills & Experience

Essential

  • Previous experience as a PA executive assistant or senior administrator ideally within a professional services environment.
  • Excellent organisation skills with the ability to manage multiple priorities and deadlines.
  • Strong attention to detail and a high level of accuracy.
  • Confident communication skills and a professional approach when dealing with clients colleagues and stakeholders.
  • Proficient in Microsoft Office including Word Excel and PowerPoint.
  • Ability to work independently and as part of a collaborative team.

Desirable

  • Experience within the legal sector or a comparable professional services setting.
  • Familiarity with legal document management billing or practice management systems.
