More about the role:

This is a role about people first and process second. You will sit at the heart of Burson Group UK supporting our teams across our four brands and you will be one of the people who sets the tone of the working day. Roughly half of your time is dedicated to GCI Health UK with the remaining half supporting the wider group including Axicom Buchanan and Burson.

We are looking for someone who genuinely enjoys enabling other people to do their best work. You will be highly organised an accomplished multi-tasker and exceptionally discreet with a proactive and creative mindset and a can-do attitude. Just as importantly you will be warm approachable and interested in the team around you because much of the value of this role comes from noticing what people need before they ask.

What youll do:

  • Own our eventsprogrammeend to end taking responsibility for the research planning and management of regular team social events wellbeing initiatives staff milestone celebrations and gifts.
  • Run the administration andlogisticsbehind every event with genuine autonomy including venue sourcing supplier negotiation budget management catering guest lists on-the-day delivery and follow up.
  • Prepare for high-level meetings by ensuring presentations and events run smoothly for clients and for thecompany as a whole.
  • Proactively support the leadershipday to day including diary and travellogistics expenses room bookings meetinglogisticsand the management of senior leadership visits.
  • Help create an environment people want to be part of welcoming new joiners coordinating wellbeing initiatives marking the moments that matter to our teams and acting as a visible and approachable point of contact who senses the mood of the office and flags to leadership where support is needed.
  • Assistwith general company administration across the brands you support including purchase orders and invoices working closely with internal teams.
  • Keep our office environment working well covering theorganisationof our office space maintenance of internal databases and the intranet office supplies taxi bookings and couriers and ordering the office snacks and treats that make the place good to be in.
  • Build effective working relationships with colleagues across WPP and Burson Group as well as clients partners international colleagues and external suppliers handling everything you see with absolute discretion.

Experience that contributes to success:

  • Experience in a PA team coordination team assistant or similar role ideally gained in a fast-paced agency professional services or creative environment.
  • A demonstrable track record of researching planning and delivering events from team socials to larger company or client occasions.
  • A genuine interest in people and in creating a positive inclusive team environment with the warmth and emotional intelligence to be a trusted presence for colleagues at every level.
  • Confidence supporting leaders and working in a fast-paced environment.
  • Comfort working with autonomy taking decisions on administration and logistics without close supervision and knowing when to escalate.
  • The ability to hold multiple competing priorities across several teams and stay calm and organised when plans change at short notice.
  • Exceptional discretion and sound judgement when handling confidential and commercially sensitive information.
  • Strong written and verbal communication and confident use of Microsoft 365 particularly Outlook Teams Word Excel and PowerPoint.
