Office Manager Role

The school is seeking an experienced Office Manager to oversee the day-to-day operation of its busy school office.

The successful candidate will coordinate administrative tasks support senior leaders manage communication and ensure that office procedures operate effectively.

You will work with teachers support staff parents pupils visitors and external organisations so excellent communication skills are essential.

The role will involve managing competing priorities and ensuring that important administrative tasks are completed accurately and on time.

Key Responsibilities
  • Oversee the daily operation of the school office.

  • Coordinate administrative tasks and priorities.

  • Support senior leaders with administrative requirements.

  • Manage telephone calls emails and general enquiries.

  • Welcome parents visitors and external professionals.

  • Ensure visitor and reception procedures are followed.

  • Maintain accurate pupil and school records.

  • Coordinate general correspondence and documentation.

  • Support pupil admissions and new starter administration.

  • Assist with attendance-related administration.

  • Organise meetings appointments and school events.

  • Maintain electronic and paper filing systems.

  • Ensure important deadlines are monitored.

  • Coordinate office supplies and stationery orders.

  • Liaise with suppliers and external service providers.

  • Prepare letters reports and administrative documents.

  • Support staff with general office requirements.

  • Maintain confidentiality when handling pupil and staff information.

  • Support safeguarding procedures within the school office.

  • Assist with recruitment and staff onboarding administration where required.

  • Ensure school databases are kept accurate and up to date.

  • Identify opportunities to improve office systems.

  • Coordinate with the School Business Manager and senior leadership team.

  • Support the administration team during busy periods.

  • Ensure school policies and procedures are followed.

The Ideal Candidate

The successful candidate will have previous experience as an Office Manager Senior Administrator School Administrator or in a similar position.

You should be confident coordinating multiple administrative responsibilities and be able to prioritise effectively.

Strong communication skills are essential particularly when dealing with parents visitors and staff.

The school is looking for someone who is professional approachable and able to maintain a calm manner when working in a busy office.

You should also have strong IT skills and be confident using Microsoft Office and administrative databases.

Previous experience within a school or education setting would be beneficial but candidates with strong office-management experience from other sectors will also be considered.
