Job Summary

Personal Assistant (12-Month Fixed-Term Contract)

Edinburgh Full-Time

A leading professional services firm is seeking an experienced Personal Assistant to join its Commercial Disputes team on a 12-month fixed-term contract. This is an excellent opportunity for a proactive and highly organised PA to provide comprehensive support to a busy team of legal professionals within a fast-paced environment.

The Role

Working as part of a collaborative support team you will provide high-quality PA and administrative support to fee earners while assisting colleagues across the wider business as required.

Key Responsibilities

  • Diary and inbox management for multiple fee earners

  • Coordinating meetings room bookings travel arrangements and itineraries

  • Preparing formatting and proof-reading correspondence legal documents reports and presentations

  • Drafting routine correspondence on behalf of fee earners

  • Supporting court-related administration and preparation of documentation

  • Managing client and matter opening and closing processes including conflict checks and engagement documentation

  • Liaising with internal departments including Finance IT Facilities Marketing and Business Development

  • Assisting with billing processes invoice preparation and client fee portals

  • Processing expenses and managing disbursements

  • Maintaining accurate client records and document management systems

  • Taking minutes at meetings where required

  • Managing filing scanning document storage and general administrative support

  • Supporting wider PA teams across the business during periods of high demand

Candidate Profile
Essential Skills and Experience

  • Previous experience as a Personal Assistant or Executive Assistant ideally within a legal or professional services environment

  • Litigation experience is highly desirable

  • Exceptional organisational and prioritisation skills

  • Strong attention to detail and accuracy

  • Excellent communication and stakeholder management skills

  • The ability to manage multiple deadlines in a fast-paced environment

  • Advanced Microsoft Office skills particularly Word Excel and PowerPoint

  • A proactive and flexible approach to supporting a busy team
