- Coordinate administrative activities to support the successful delivery of installation projects.
- Process subcontractor documentation and maintain accurate project records and files.
- Place material orders and liaise with suppliers to ensure timely delivery of equipment and materials.
- Track shipments and deliveries proactively resolving any issues that may impact project schedules.
- Support the invoicing process and ensure project documentation is completed accurately.
- Maintain and update project information within company systems and databases.
- Liaise with customers subcontractors suppliers and internal teams to ensure effective communication throughout project delivery.
- Monitor project milestones and assist with scheduling activities where required.
- Ensure all documentation complies with company policies and procedures.
- Identify opportunities to improve coordination processes and administrative efficiency.
- Associate degree (2-year degree) or an equivalent combination of education and relevant experience.
- Minimum of 4 years experience in a coordination administration project support or similar role.
- Experience managing documentation and supporting multiple projects or activities simultaneously.
- Strong organisational and time management skills with excellent attention to detail.
- Proficiency in Microsoft Office applications and business management systems.
- Strong communication and interpersonal skills.
- Customer-focused approach with the ability to build effective working relationships.
- Ability to work independently while managing competing priorities in a fast-paced environment.
- Experience supporting installation construction engineering service or facilities management projects.
- Knowledge of procurement invoicing and supply chain processes.
- Experience using ERP service management or project management systems.
- Understanding of subcontractor management and project documentation requirements.
