Job Summary

HR Coordinator

Hybrid role based in London - 3 days a week in the office

Role Overview

We are looking for an experienced and proactive HR Coordinator to provide first-line HR support across the full employee lifecycle.

Working closely with HR Business Partners and managers the role will support employee relations recruitment onboarding absence management performance processes contractual changes TUPE activity and HR projects.

This is a varied generalist position suited to someone looking to build on their existing HR experience and develop towards an HR Advisor role.

The successful candidate will manage straightforward HR matters independently while recognising when more complex or high-risk cases need to be escalated to the appropriate HR Business Partner.

Key Responsibilities
  • Act as a first point of contact for managers and employees providing guidance on routine HR queries and company policies.

  • Manage and prioritise the HR inbox ensuring queries are responded to or escalated appropriately.

  • Support managers with straightforward absence probation performance and conduct matters.

  • Coordinate employee relations meetings including preparing correspondence arranging meetings taking notes and maintaining accurate case records.

  • Support incoming and outgoing TUPE transfers including Employee Liability Information associated documentation and maintaining trackers.

  • Support redundancy restructuring and other organisational change processes.

  • Coordinate recruitment onboarding and leaver processes including contracts pre-employment and right-to-work checks.

  • Prepare employee documentation and process contractual changes including salary hours job title and location.

  • Support monthly payroll by checking and submitting approved employee changes and responding to routine queries.

  • Monitor sickness absence probationary periods fixed-term contracts and other key employee dates.

  • Support occupational health referrals family leave and flexible working processes.

  • Maintain accurate HR systems employee records and personnel files in line with GDPR requirements.

  • Produce regular HR reports and management information and support HR compliance audits.

  • Support employee engagement initiatives policy reviews and wider HR projects.

  • Build effective working relationships with managers payroll and operational teams to support the effective delivery of HR services.

Skills and Experience
  • Previous experience in an HR Administrator HR Assistant or HR Coordinator position.

  • Good understanding of the employee lifecycle and standard HR procedures.

  • Experience supporting employee relations cases and meetings.

  • Experience supporting TUPE or employee consultation processes would be beneficial.

  • Able to provide first-line HR guidance while recognising when a matter needs to be escalated.

  • Strong organisation and time-management skills.

  • Excellent attention to detail and the ability to manage competing deadlines.

  • Strong written and verbal communication skills.

  • Confident using HR systems and Microsoft Office or Google Workspace.

  • Able to manage sensitive and confidential information appropriately.

  • Positive and proactive with an interest in progressing towards an HR Advisor role.

Essential Qualification
  • CIPD Level 3 qualification (or above).
