Amazon WHS (Workplace Health and Safety) is looking for an exceptional Executive Assistant to join a fast-paced exciting and growing team. This role will support two Directors and a global team.
You will need to be able to earn trust quickly be resourceful demonstrate high ownership communicate effectively across all levels and roles and maintain strong attention to detail and organisation. A high level of integrity and discretion in handling confidential information is essential as is professionalism in dealing with senior executives inside and outside the company.
The successful candidate must have a demonstrated ability to manage complex calendars coordinate domestic and international travel process expense reports and act as a general liaison between team members and leadership.
Key job responsibilities
Provide executive support to Directors and work closely with the leadership team and other Executive Assistants to provide support to the organization
Organise prioritise and appropriately handle time-sensitive confidential information and ensure required actions are addressed in a timely manner
Track and help drive completion of key deliverables and follow up on pending items
Manage complex scheduling both internal and external
Arrange worldwide travel itineraries for the Directors including booking travel and accommodation building agendas and any further requirements
Handle administrative tasks as required such as expense reports POs space planning and more
Serve as a business partner ensuring strategic proactive and thoughtful support of the business cycle
Organise execute and assist with team activities (town halls regional meetings staff meeting agendas all-org meetings off-sites on-sites team social events and volunteering activities)
Work with our international team across several time zones
Manage WHS-related projects as needed
Provide cover for other EAs in the team when needed
- Knowledge of Microsoft Office products and applications
- Experience as an Executive Assistant
- Experience with executive level calendar management
- Experience with domestic or international travel coordination
- Bachelors degree
- Experience leading process improvements
- Experience in a fast-paced high-tech company
- Experience designing processes to maximize efficiency
