Position: Early Careers & Development Coordinator

Responsible to:Early Careers & Development Manager

Overview

As Early Careers & Development Coordinator you will support the Early Careers & Development Manager and Advisor with the recruitment and development of the Firms trainee associates and solicitor apprentices.

This role is pivotal in ensuring the smooth running of our recruitment outreach assessment process SQE training onboarding new joiners and various marketing initiatives. The successful candidate must possess strong administrative and communication skills. This role will also be heavily involved in the 360 running of our early careers programs (vacation schemes) and events.

The role is also focused on the HR and development of our future and current trainees and apprentices.

We recruit 30 vacation scheme students per year across two programs as well as 15 trainee associates and two solicitor apprentices per year.

Key Duties & Responsibilities

Marketing & Attraction

  • Coordinate the delivery of the Firms attraction strategy working closely with the Early Careers Advisor and Manager to enhance brand visibility and reputation across key target universities and student audiences

  • Assist in the end-to-end planning and execution of networking events presentations and skills sessions (virtual and in-person) managing logistics venue sourcing supplier liaison speaker coordination and post-event evaluation

  • Represent the firm at recruitment events and engage with potential candidates where necessary including university law fairs presentations and skills sessions

  • Support with the management of relationships with a number of the firms key target universities brands and D&I organisations

  • Support the Early Careers Advisor in the delivery of marketing materials including contributing to the ongoing creation and development of our social media content

  • Collaborate with the Advisor with the coordination and organization of insight days overseeing logistics stakeholder management and attendee communication.

Recruitment & Selection

  • Coordinate the recruitment selection process including advertising and screening applications candidate management coordinating interviews and collating feedback

  • Manage the preparation and distribution of assessment center materials and resources

  • Support with the offer process including managing all offer paperwork and onboarding

  • Play a key role in the planning and execution of two Vacation Schemes per year supporting the Advisor and Manager.

Onboarding

  • Take full responsibility for the onboarding processes of all successful candidates via Workday ensuring compliance with background screening right to work requirements and internal onboarding protocols

  • Conduct right to work checks and provide ongoing support acting as a central point of contact for new joiners during pre-employment and initial onboarding providing guidance and ensuring a positive candidate experience

  • Coordinate the visa application process for new joiners and qualifying trainees

  • Update and maintain early careers databases and tracking systems

  • Manage all coordination of payroll paperwork for current trainees new joiners maintenance grants and future trainee expenses

  • Manage the law school registration process for all future trainees and apprentices.

Trainee Development

  • Assist in the coordination and running of the annual induction program

  • Support the bi-annual trainee seat rotation process

  • Administer the appraisal process for trainees including mid and end of seat reviews

  • Assist with the annual qualification process for trainees

  • Assist in the continued implementation and administration of the SQE programme acting as a key contact for future trainees regarding training schedules and requirements and escalating any pastoral issues

  • Conduct regular 1:1 meetings with trainee associates to discuss their development and escalate any pastoral issues

  • Assist with the trainee associate overseas secondment process

Work Experience

  • Act as the main point of contact for ad hoc work experience requests and coordinate ad hoc work experience

  • Partner with the Corporate Responsibility & Sustainability team to support the delivery of structured work experience programmes

  • Take full ownership of running the Paul Bromfield Scholarship programme with support from the Early Careers Manager

Administrative Support

  • Coordinate the Early Careers inbox and handle general queries related to our early careers programs in a timely and appropriate manner

  • Provide general administrative support to the Early Careers team

  • Assist with any project work as and when required

  • Respond to all Early Careers reference requests

  • Process all candidate and team expenses and invoices.

Skills & Experience

  • Strong organisational skills;

  • Excellent attention to detail and accuracy;

  • Excellent grammar and spelling;

  • Excellent verbal and written communication skills with the ability to communicate with individuals at all levels;

  • Friendly and enthusiastic with a flexible and proactive approach;

  • An interest in marketing and social media

  • Self-motivated with the ability to juggle several deadlines;

  • Willingness to learn grow and develop;

  • Able to work in a team environment;

  • Experience of working in an office environment ideally a law firm or professional services.
