The Workplace Product Owner is accountable for maximising the value delivered through Workplace products and services by translating business outcomes colleague needs and technology priorities into a clear product vision prioritised roadmap and actionable backlog.
Working closely with Workplace leadership Delivery Managers Design Lead CTO Cyber Data Service Operations and strategic vendors the role ensures that Workplace initiatives are aligned to organisational strategy governed appropriately and delivered to time cost and quality.
The role owns product performance measures adoption outcomes and benefits realisation using insight and feedback to continuously improve the end-user experience simplify ways of working and ensure Workplace products are secure reliable cost-effective and fit for purpose.
What youll do
Product Vision & Roadmap (20%):
Define and maintain the product vision outcomes and roadmap for Workplace products and services including end-user devices collaboration platforms M365 services identity and access workplace facilities technology endpoint lifecycle and workplace tooling. Translate organisational priorities business needs and technology direction into an outcome-based roadmap with clear milestones dependencies benefits and measurable value.
Backlog Management & Prioritisation (25%):
Own shape and prioritise the Workplace product backlog ensuring work is clearly defined through user stories requirements acceptance criteria non-functional requirements and business value statements. Balance demand across strategic change operational improvement risk reduction technical debt regulatory requirements adoption needs and end-user experience improvements. Ensure delivery teams have a transparent well sequenced and delivery-ready backlog.
Stakeholder Engagement and Business Alignment (15%):
Build strong relationships across Workplace CTO Cyber Data Service Operations Finance Change regional teams and internal customer groups. Understand business needs user pain points and operational priorities then translate these into clear product outcomes. Communicate roadmap progress trade-offs risks dependencies and decisions so expectations are managed and business value is understood.
Delivery Support & Acceptance (15%):
Work with delivery teams through discovery design build test release and adoption. Provide timely decisions clarify requirements support Agile ceremonies and formally accept outcomes against agreed acceptance criteria. Ensure operational readiness is embedded including support models knowledge articles communications training monitoring service transition disaster recovery and business continuity considerations.
Governance Risk & Financials (15%):
Maintain appropriate governance for Workplace product change including business cases approvals reporting risk and issue management dependency tracking benefits realisation and financial oversight. Ensure product decisions align to architecture security change assurance and service management processes. Support cost control licence optimisation and value-for-money decisions across Workplace products and suppliers.
Performance & Continuous Improvement (10%):
Define and monitor product KPIs such as adoption usage colleague satisfaction incident trends service performance time-to-deliver cost-to-serve and realised benefits. Use insights from dashboards service data feedback end-user forums and operational trends to identify improvement opportunities reduce friction increase adoption improve stability and enhance the overall workplace experience.

- Roadmap and backlog are outcome-driven transparent and aligned to organisational priorities; trade-offs are understood and decisions are timely.
- Delivery teams have clear requirements and acceptance criteria resulting in predictable delivery and reduced rework.
- Effective stakeholder engagement and communication leading to strong adoption improved end-user experience and fewer escalations.
- Measurable improvements in Workplace KPIs (e.g. adoption CSAT incident reduction time-to-deliver) and demonstrable benefits realisation.
What youll need
Essential:
- Proven product ownership experience (or equivalent) in technology-enabled services including shaping vision roadmaps and outcomes
- Strong backlog management skills: writing user stories/requirements defining acceptance criteria and prioritising based on value and risk
- Stakeholder management: ability to influence negotiate trade-offs and align diverse groups (business engineering operations security and suppliers)
- Working knowledge of Agile delivery (Scrum/Kanban) and product discovery techniques (problem framing options MVP experimentation)
- Understanding of Workplace/End User Computing and collaboration services (e.g. M365 endpoints identity device lifecycle) and the needs of end users
- Operational mindset: awareness of service management (incident/problem/change) operational readiness and supportability-by-design
- Strong analytical skills with experience using data to drive prioritisation and measure outcomes (e.g. Power BI/Excel dashboards KPIs)
- Ability to use data insight and reporting to support prioritisation decision-making and performance management including dashboards KPIs and trend analysis.
- Clear written and verbal communication with the ability to communicate complex topics to non-technical audiences
- Good understanding of governance risk assurance security and financial management in a technology delivery environment.
- Strong planning organisational and analytical skills with the ability to manage multiple priorities and maintain attention to detail.
Desirable:
- Product Owner / Product Management certification (e.g. PSPO CSPO) or equivalent experience
- Knowledge of ITIL and/or COBIT and how to apply governance in an agile delivery context
- Experience managing vendor relationships and third-party delivery dependencies
- Experience with benefits realisation financial tracking and business case development
- Experience supporting adoption change communications end-user engagement pilots or user forums.
- Familiarity with workplace analytics digital employee experience tools Power BI Excel or other reporting and dashboarding platforms.
