Contract Administrator

Glasgow

FTC 9 months with possibility of full-time

Salary to 25468 plus excellent package

We are working with a national facilities management contractor who have an excellent industry reputation look after their staff well and have very established and stable contracts nationally.

Due to continued expansion we are currently looking to recruit a contract administrator to join the team.

Role:

  • Chase parts with suppliers & provide parts information to plannersin order toschedule field engineers to priority jobs and schedule contractual priorities via theappropriate fieldengineers.
  • Submit completed work orders for payment ensuring all information & supporting documents areaccurate.
  • Investigate & process any payment rejections.
  • Provide weekly/monthly reports on figures & rejections & outstanding parts/OWOs.
  • Monitor response times of field engineers and contractors to ensure job completion within agreed timescales.
  • Timesheet management
  • Accuratelydeal withinvoices andpurchase orders
  • Organise and prioritise work to maximise efficiency and achieve deadlines.
  • always Representing the company in a professional and competent mannerand developstrongworking relationships with colleagues and clients.
  • Logallinformation accurately on the bespokeCAFM systemscompleting all relevant fields throughout each call/e-mailfollowing relevant processes.
  • Communicate fluently and confidently withcolleaguescustomersand management.
  • Ensure effective written and verbal communication of all critical operational issues whererequired.
  • Work as part of a team to deliver excellent service to the Customer.
  • Comply withany other reasonablemanagementinstruction or ad-hoc duties.
  • All aspects ofscheduling off fieldengineers dailyappointments etc.

Person:

  • Knowledge of software systems clients CAFM systems & previous experience of working within a retail FM contract would be advantageous.
  • Training Provided
  • GCSEs or equivalent Grade C in English and Maths
  • Good planning and organisation skills and the ability to prioritise own workload efficiently
  • Understanding of FM business or the willingness to learn
  • Strong communication skills
  • Working knowledge of MS Office including Excel and Outlook

Package:

  • Base salary to 25468
  • Monday - Friday 37.5 hour week (9am till 5pm)
