Job Summary

2x Business Admin Level 3 Apprenticeships MANOR PRIMARY SCHOOL

We are currently seeking to recruit two enthusiastic individuals who are hard working and eager to join our admin team as School Admin Apprentices. We are looking to recruit confident personable individuals that can work independently and as a part of a team.



Key Details

Salary: 10.85 per hour (under 21 years) / 12.71 per hour (over 21 years)

Working hours:8.00am to 4.00pm Monday to Friday 35 hours. Term time only

Location:Manor Primary School 40 Scholars Way Dagenham RM8 2FL & Manor Infants School Sandringham Road Barking IG11 9AG

Apprenticeship Details -16 months expected duration to complete working towards your Level 3 School Business Administration Qualification. (All learning is delivered online/ remote).

Training Provider:LMP Education (rated 1st best UK training provider)

The two administration apprentices will be responsible for supporting the administrative financial and organisational processes within the school. They will also act as the first point of contact for parents/carers visitors and other stakeholders so will be an ambassador for the school and embody the value vision and ethos of the school in all interactions.

Duties and responsibilities

Reception

  • To provide an efficient and effective administration support function to the reception and administration team.
  • Act as the first point of contact for parents/carers pupils and visitors arriving at the school.
  • Welcoming guests answering enquiries in person by phone and email directing people to the appropriate departments and always ensuring a professional and welcoming environment.
  • Undertake reception duties answering the telephone and dealing with face-to-face enquiries.
  • Ensure the security of the school by signing in visitors and issuing passes alerting staff to the arrival of a visitor provide refreshments monitor the collection of the visitor and signing out and collecting the visitors pass as they leave.
  • Respond to messages promptly and accurately passing on information to relevant staff members as necessary

General administration

  • Update manual and computerised record/information systems
  • Assist with managing the schools email inbox ensuring the school meets its expected response times and that emails are forwarded to the relevant staff member as necessary
  • Manage and organise completed forms from parents and carers e.g. trip consent forms admissions applications etc.
  • Organise and distribute incoming and outgoing post
  • Provide administrative support to staff as needed



Attendance administration

  • Monitor and maintain an accurate record of pupil attendance producing reports as necessary
  • Monitor the late arrival of pupils and contact parents/carers to identify reasons for non-attendance ensuring all safeguarding procedures are followed

Safeguarding

  • Control access to the school in line with the schools safeguarding procedures including signing in visitors checking identification as necessary issuing passes and notifying them of safeguarding and safety procedures
  • Be alert to unknown individuals on the school premises and report any concerns in line with the schools procedures
  • Escalate any safeguarding concerns following the correct safeguarding procedures



Finance

  • Enter data into the schools finance systems and produce reports as necessary
  • Collect cash record and issue receipts for payments
  • Carry out financial administration in line with the schools procedures

  • Handling sensitive and confidential information.
  • Read and follow the relevant school policies:
    • Child Protection & Safeguarding Policy
    • Staff code of conduct
  • Undertake training required to develop in the role
  • To keep up to date with current relevant education developments policy and new technologies to enhance the quality of administration and support services.
  • To exercise a commitment to the schools mission
  • Ensure all duties and responsibilities are undertaken in line with the schools health and safety policy

  • GCSEs or equivalent (required).
