The successful candidate will join a collaborative administrative team and will work closely with pastoral leaders Heads of Year senior leadership parents and carers.
The school is seeking an experienced and organised Attendance & Admissions Officer to take responsibility for a range of attendance and admissions processes.
The role will involve monitoring daily attendance following up unexplained absences maintaining accurate records and communicating with families.
You will also support the admissions process ensuring that relevant documentation is received processed and recorded correctly.
The successful candidate will need to be confident having professional conversations with parents and carers including conversations regarding persistent absence lateness or incomplete admissions information.
The role requires someone who is approachable and supportive but also able to follow established procedures and maintain clear professional boundaries.
Monitor daily attendance across the school.
Identify unexplained absences and follow up with parents and carers.
Record attendance information accurately and promptly.
Monitor patterns of absence and persistent lateness.
Produce attendance information and reports for relevant staff.
Communicate attendance concerns to pastoral leaders.
Maintain detailed records of communication with families.
Support attendance improvement plans and interventions.
Contact parents by telephone email and written correspondence.
Arrange and support attendance-related meetings.
Escalate persistent concerns in accordance with school procedures.
Work closely with Heads of Year and pastoral staff.
Support safeguarding procedures where attendance concerns raise wider welfare issues.
Process admissions documentation accurately.
Maintain up-to-date pupil records.
Liaise with families regarding admissions requirements.
Assist with new pupil administration and induction arrangements.
Ensure information is entered accurately onto school systems.
Check documentation and identify missing information.
Support the administration of school transfers and leavers.
Prepare relevant reports for senior staff.
Maintain confidentiality when dealing with sensitive information.
Ensure administrative procedures are followed consistently.
Support colleagues with general pupil administration when required.
Contribute to improvements in attendance and admissions processes.
The successful candidate will have previous experience in attendance admissions school administration pastoral support or a similar role.
Experience of working within a secondary school would be particularly beneficial because the position involves dealing with a wide range of student and family circumstances.
You should be confident communicating with parents and carers and able to explain school procedures clearly and professionally.
The successful candidate must be comfortable working with databases and maintaining accurate records. Attention to detail is particularly important because attendance and admissions information needs to be reliable and up to date.
You should also have a good understanding of confidentiality and safeguarding.
