The school is looking to appoint an experienced Attendance & Admissions Officer to join its administrative and pastoral support structure.
The successful candidate will take responsibility for maintaining accurate attendance information following up unexplained absences and supporting the school in improving attendance levels.
The role will involve regular communication with parents and carers by telephone email and written correspondence. The successful candidate must therefore be confident having professional conversations with families and explaining school attendance expectations clearly.
You will also support admissions administration ensuring that student records are accurate and that relevant information is entered onto school systems.
The role will require excellent attention to detail because attendance and admissions records must be maintained accurately and consistently.
Monitor daily student attendance and identify unexplained absences.
Follow up attendance concerns with parents and carers.
Maintain accurate attendance records using the schools information management system.
Contact families by telephone email and written correspondence regarding attendance.
Produce regular attendance reports for pastoral teams and senior leaders.
Identify patterns of absence and lateness.
Escalate persistent attendance concerns in line with school procedures.
Work closely with Heads of Year pastoral staff and senior leaders.
Support meetings with parents where attendance is a concern.
Maintain detailed records of attendance-related communication.
Support the implementation of attendance improvement strategies.
Assist with student admissions and new pupil administration.
Process admissions documentation accurately.
Maintain student records and ensure information is updated promptly.
Liaise with families regarding admissions requirements.
Support the organisation of new student information and documentation.
Ensure relevant records are handled confidentially.
Prepare reports and information for meetings.
Work with colleagues to ensure attendance and admissions procedures are followed consistently.
Support safeguarding procedures where attendance concerns may indicate wider welfare issues.
Maintain accurate documentation for audit and compliance purposes.
The successful candidate will be highly organised and confident dealing with sensitive and sometimes challenging situations.
Previous experience in attendance admissions school administration pastoral support or a similar role would be highly advantageous.
You should be confident communicating with parents and carers and be able to remain professional when dealing with difficult conversations.
Strong IT skills are essential as the role involves maintaining databases producing reports and updating records.
You will need excellent attention to detail and the ability to identify inconsistencies in attendance and student information.
The successful candidate should also understand the importance of safeguarding and know when concerns need to be passed to the appropriate member of staff.
Previous experience in school administration attendance admissions or a related role.
