Summary

This temporary 3-month contract role is pivotal in providing administrative support to the Waste & Recycling Service ensuring the seamless delivery of administrative customer service and operational support functions. Reporting to the Supervisor the Administrator will be responsible for maintaining records processing inquiries coordinating meetings managing correspondence and assisting with service administration. This role is integral to supporting both operational and support teams in delivering efficient services.

Responsibilities

  • Administrative Support
    • Provide efficient administrative support to operational and support teams.
    • Maintain and update electronic and manual information systems.
    • Create maintain and archive files and records.
    • Assist with the collection and collation of statistical information and returns.
  • Customer Service
    • Provide accurate advice information and assistance to customers.
    • Record complaints service requests and customer inquiries.
    • Process and respond to garden waste queries.
    • Issue collect and validate customer documentation.
  • Correspondence & Information Management
    • Process incoming and outgoing mail and emails.
    • Prepare correspondence reports policies procedures and associated documentation.
    • Ensure records and information are maintained accurately and securely.
  • Meetings & Coordination
    • Coordinate meetings and appointments as required.
    • Attend meetings and take accurate notes and minutes.
    • Produce and distribute meeting minutes and action logs.
  • Stakeholder Liaison
    • Liaise with statutory independent voluntary and partner organizations.
    • Build positive working relationships with internal and external stakeholders.
  • Procurement & Resources
    • Order stationery publications and equipment in line with procurement procedures.
    • Monitor and maintain administrative resources required by the service.
  • Team Support
    • Undertake project and "task and finish" work as directed by the Supervisor.
    • Assist colleagues across the service to ensure operational priorities are achieved.
    • Support service delivery across Waste & Recycling functions as required.
  • Compliance & Corporate Responsibilities
    • Follow council policies and procedures at all times.
    • Comply with health and safety requirements.

Requirements
Requirements:

  • Qualifications
    • Good standard of education including GCSE English and Mathematics (or equivalent).
    • Desirable: European Computer Driving Licence (ECDL) or equivalent IT qualification.
    • Desirable: NVQ Level 2 in Administration Business Administration or Finance.
  • Knowledge
    • Understanding of administrative processes and office procedures.
    • Desirable: Understanding of how local authorities operate.
    • Desirable: Knowledge of Waste & Recycling services.
    • Desirable: Knowledge of relevant financial procedures and policies.
  • Experience
    • Experience working in an office or administrative environment.
    • Experience using Microsoft Office packages including Word Excel Outlook and Teams.
    • Experience providing customer service and handling inquiries.
    • Desirable: Previous local authority or council experience.
    • Desirable: Experience supporting Waste & Recycling or environmental services.
    • Desirable: Experience maintaining records and data systems.
    • Desirable: Experience taking meeting minutes and coordinating meetings.

Required Skills:

Requirements: Experience in a customer-focused or administrative role. Proficiency in using multiple software systems to manage data raise orders and track progress. Experience in handling repairs housing or property-related administration (desirable). Proven ability to input data accurately and efficiently. Qualifications & Skills Strong communication skills both written and verbal. Ability to manage workload independently with minimal supervision. Strong organizational skills with the ability to manage competing priorities. Confidence in handling customer interactions and resolving issues. Attention to detail and high level of accuracy. Competency in using Microsoft Office and other relevant systems. Additional Information 6-month temporary contract. Pay is provided on a bi-weekly basis. Agile working policy (combination of home and office-based working in Loughborough). Must be flexible and responsive to changing workloads and priorities.
