Overview Were looking for a hands-on reliable and welcoming Office Coordinator to support the day-to-day operational running of our office. This is an entry-level operations role focused on keeping our workspace clean well-stocked and running smoothly. Youll be the person who makes sure everything is in its place so the rest of the team can focus on their work.
Youll work closely with and directly support the Office Manager taking ownership of recurring operational tasks and contributing to a positive welcoming office environment. Youre motivated detail-oriented and take pride in a well-run space.
Responsibilities and Duties: General Office Support & Office Cleanliness:
Provide day-to-day operational support to the Office Manager and wider operations team.
Ensure the office kitchen and common areas are kept clean tidy and presentable throughout the day.
Assist with ad-hoc tasks and errands as directed.
Supplies & Restocking:
Monitor and refill kitchen supplies daily coffee tea snacks beverages and consumables.
Restock office supplies (stationery printer paper cleaning products) proactively before items run out.
Place orders for supplies under the direction of the Office Manager tracking deliveries and confirming receipt.
Manage and maintain a tidy storage/supply room and keep inventory organized and accessible.
Mail Shipping & Deliveries:
Receive sort and distribute incoming mail and packages.
Prepare outgoing shipments and coordinate with couriers as needed including documentation and tracking for domestic and international deliveries.
Facility & Safety Support:
Support the Office Manager with basic facility tasks including desk setup for new hires and meeting room preparation.
Assist with adherence to Health & Safety standards and help maintain a safe environment for all staff.
Help manage access-related tasks (e.g. key fobs visitor sign-in) under the direction of the Office Manager.
Onboarding Support:
Assist with desk readiness and equipment setup for new joiners.
Support SWAG coordination and distribution.
Events & Culture Support:
Assist with setup and tidying before and after internal events team lunches Flydays and company all-hands.
Help foster a positive inclusive office environment and contribute to a welcoming workplace culture.
Qualifications and Skills
A hands-on detail-oriented approach. You take pride in keeping things running and looking great and nothing slips through the cracks.
You move fast act with urgency and thrive in a high-pace environment. Youre eager to learn quick to execute and always looking for the next thing to improve.
Reliable punctual and detail-oriented; you notice when something needs attention without being asked.
Friendly and service-oriented comfortable being a visible approachable presence in the office.
Basic organizational skills and willingness to follow and improve simple processes.
Some familiarity with procurement logistics or inventory is a plus but not required.
Proficient in Google Workspace.
Prior experience in an office hospitality facility or similar operational environment is an advantage.
Fluency in English and knowledge of German is required.
