Office Coordinator
Job Summary
We are looking for a dynamic versatile receptionist who is eager to join our team in our offices in Barcelona Eixample.
Qualifications :
- Fluent English - At least C1
- Degree or background in Administration Business Management or similar
- Advanced office suite skills (Excel and Word)
- Face-to-face work from Monday to Friday
- Strong organizational skills attention to detail and effective communication abilities
- Proactive mindset problem-solving capabilities and service-oriented approach
Your mission:
You will play a key role in ensuring the efficient and compliant day-to-day running of the office providing comprehensive administrative and vendor management support across the business.
- Managing front desk operation and act as the first point of contact for visitors employees and external partners
- Ensure the office environment is well-organized welcoming and fully operational
- Coordinate external vendors and service providers (e.g. office services maintenance catering)
- Maintain proper tracking of vendor-related documentation
- Monitoring vendor performance and managing incidents ensuring timely resolution and proper tracking.
- Supporting the organization of internal meetings and corporate events ensuring smooth logistical execution.
- Providing support for business travel arrangements through platform administration and employee guidance in collaboration with the external travel agency.
- Assist employees with administrative queries and internal processes
- Provide comprehensive administrative support across the business
- Manage documentation record-keeping and internal processes
