Job Summary

The mission of the Human Resources Area is articulated through four strategic pillars:

The area of Human Resources covers Talent Attraction and Acquisition Professional Development/Training Strategic HR Projects Personnel Administration and Labour Relations (involving a current team of seventeen people).

Main responsibilities and duties:

The candidate will provide administrative support to the HR Area contributing to the smooth implementation and follow-up of HR procedures and activities. Specifically the role will include:

  • Provide general administrative support to the HR Directorate including the preparation of documentation supporting job offer publication telework processes contract-related documentation certificates audits and other administrative activities.

  • Support onboarding and welcoming processes for new staff assisting with the administrative tasks before during and after incorporation and ensuring that the required documentation and information are properly prepared and available.

  • Maintain and update HR records databases and files ensuring information on VHIR employees collaborating staff and external personnel is accurate complete and properly organised across physical and digital systems.

  • Support the coordination of meetings events and HR activities including scheduling meetings preparing and sharing information communicating with stakeholders and providing administrative support during project or team sessions.

Education and qualifications:
Required:
  • Professional Training (CFGM) preferably within the field of Business Administration or related field.

  • Fluency in Catalan and Spanish (business level).

Desirable:
  • Fluency in English (business level).

  • Specific training in human resources.

Experience and knowledge:
Required:
  • Previous experience working in administration functions preferably in a professional or organisational environment.

  • Intermediate knowledge of Microsoft 365 particularly Word Excel PowerPoint and Outlook.

  • Good organisational and prioritisation skills with the ability to manage multiple tasks and requests.

  • Attention to detail and accuracy in document preparation data entry and record keeping.

  • Good communication and interpersonal skills with a service-oriented approach and ability to collaborate effectively within a team.

  • Ability to follow established procedures policies and protocols and work with guidance when required.

Desirable:
  • Experience in the biomedical research sector.

  • Previous experience in an HR department or personnel administration.

Labour conditions:
  • Working hours: Part-time (20 hours per week).

  • Starting date: As soon as possible.

  • Gross annual salary: Remuneration will be determined by experience skills and responsibilities and aligned with the Collective Agreement pay scale.

  • Contract type: A one-year fixed-term contract linked to the project with the possibility of extension.
