Job Summary
The Head of Talent Acquisition serves as the central point of coordination between clients recruiters and administrative staff for every open job order. This role owns the full lifecycle of a job requisition from the moment it enters the CRM through to successful placement translating client needs into clear actionable search criteria keeping recruiters focused on the right candidates and ensuring admins are screening applicants accurately. The ideal candidate is highly communicative detail-oriented and comfortable acting as the translator between what a client says they want and what the recruiting team needs to execute on.
Key Responsibilities
CRM & Job Intake Management: Monitor the CRM continuously for new open job postings. As soon as a job comes in review the listing for completeness and flag any missing or unclear requirements before work begins.
Client Coordination: Reach out to the client promptly after a job is posted to confirm or clarify role requirements: must-have skills nice-to-haves schedule pay range start date and any deal-breakers. Ask probing questions when a request is vague or generic since clients dont always articulate exactly what they need on the first pass. Maintain ongoing communication with the client throughout the fill process providing status updates and managing expectations on timeline.
Recruiter Coordination: Translate client requirements into a clear accurate brief for recruiters so theyre sourcing against the right criteria from the start. Check in regularly on sourcing progress unblock recruiters who are struggling to find fits and redirect search criteria if the clients needs shift mid-process.
Admin & Screening Coordination: Work with admin staff to ensure applicants are being filtered and vetted correctly against the jobs true requirements (not just keyword matches). Spot-check screened candidates before theyre presented to the client to catch mismatches early and protect the client relationship.
Pipeline & Speed Management: Track every open jobs status (intake sourcing screening submitted filled) and proactively push stalled jobs forward. Balance speed and accuracy the goal is to fill jobs as quickly as possible without sacrificing fit since a bad placement costs more time than a slightly slower accurate one.
Escalation & Problem-Solving: Identify when a job isnt filling because of unclear requirements unrealistic client expectations or a thin recruiter pipeline and resolve the root cause rather than just reporting the delay. Escalate to leadership when a client relationship or job order is at risk.
Reporting: Maintain accurate up-to-date records in the CRM on every open jobs status client communications and time-to-fill. Provide regular summaries to leadership on pipeline health bottlenecks and client satisfaction.
Required Qualifications
2 years of experience in recruiting staffing account management or a client-facing coordination role
Strong written and verbal communication skills; comfortable speaking directly with clients
Demonstrated ability to manage multiple open requisitions simultaneously without losing track of details
Experience working inside a CRM or applicant tracking system (ATS)
Strong active-listening skills able to extract real requirements from a client who may not articulate them clearly
Highly organized with the judgment to know when to push for speed versus when to slow down for accuracy
Preferred Qualifications
Experience in staffing contractor placement or a recruiting agency environment
Familiarity with sourcing/screening best practices well enough to coach recruiters and admins not just relay client requests
