Job Summary

Overview

We are a fast-growing health and wellness snack food brand. We are seeking a highly capable Executive Assistant Accounting & Business Coordinator to create structure reduce founder admin load and keep day-to-day workflows moving smoothly across sales operations accounting and brand support. This is a cross-functional high-trust role designed for a positive energetic operator who thrives in a fast-moving founder-led environment and comfortably wears multiple hats.

Key Responsibilities

  1. Executive & Founder Support
  • Manage daily inbox triage surface priority communications and draft routine replies.
  • Coordinate calendar scheduling meeting logistics and detailed agendas/notes.
  • Maintain daily and weekly founder priority lists to eliminate administrative bottlenecks.
  • Support travel planning and detailed itinerary creation.
  1. Accounting & ERP Management (Cin7 Core & QuickBooks)
  • Map ingredient numbers to suppliers and finished goods to customer numbers within Cin7 Core.
  • Input customer/supplier data and finished product recipes to drive inventory planning.
  • Issue Purchase Orders (POs) invoice customers and manage distinct pricing structures.
  • Track revenue streams across Amazon and Shopify and perform monthly expense reconciliations.
  1. Trade Show & Event Logistics
  • Coordinate trade show planning timelines shipping requirements and booth materials.
  • Track event checklists and manage sample inventory signage and printed assets.
  • Support pre-show scheduling attendee coordination and structured post-show follow-ups.
  1. Sales Operations & Marketing Support
  • Support sales admin workflows maintain CRM hygiene and coordinate retail sample requests.
  • Route incoming customer opportunities from platforms like Opener to the right team members.
  • Assist with EDI-related admin workflows and manage inbound customer/retailer messages.
  • Handle customer-facing social messages and support lightweight social posting workflows.

Required Skills & Experience

  • Experience: 510 years of strong experience supporting executive-level management. Experience in venture capital private equity legal or banking is highly desired.
  • Industry Knowledge: Significant experience working within the consumer packaged food and beverage (CPG) space including e-commerce.
  • Systems & Tech: Deep proficiency in advanced Excel Cin7 Core (DEAR) QuickBooks and Shopify.
  • Communication: Exceptional written and verbal English communication skills.
  • Education: Bachelors degree required; a business degree is preferred.
  • Core Traits: Problem solver with keen judgment high resilience under high expectations and a roll-up-your-sleeves approach.
