Job Summary
Position Description:
Executive Support & Stakeholder Management
Deliver High-Level Executive Support: Provide seamless comprehensive administrative and strategic support to Directors and Senior Executives.
Team Collaboration & Coverage: Collaborate closely with the incumbent Personal Assistant (PA) and the wider Executive Services Team to ensure uninterrupted high-quality coverage during absences.
Executive Gatekeeping & Liaison: Serve as a professional first point of contact managing and filtering complex inquiries via telephone and email from key internal and external stakeholders with exceptional diplomacy.
Strategic Diary Management: Proactively manage complex calendars prioritizing conflicting commitments resolving scheduling conflicts and orchestrating virtual (Live Meetings) and in-person schedules.
Logistics & Event Coordination
End-to-End Travel Management: Coordinate comprehensive domestic and international travel logistics itineraries and accommodations utilizing HRG ensuring alignment with executive preferences and corporate policies.
Meeting & Event Coordination: Oversee the booking of meeting rooms corporate facilities and hospitality services across various CGI locations ensuring seamless execution for executive gatherings.
Executive Deliverables & Communications
Author Professional Correspondence: Independently draft edit and finalize polished business communications memos and executive correspondence on behalf of leadership.
Develop High-Impact Materials: Produce sophisticated board-ready PowerPoint presentations detailed reports and documentation with flawless formatting and attention to detail.
Information Flow & Deadline Tracking: Monitor and prioritize the flow of information coming into the executive office; proactively track deliverables follow up on outstanding issues and ensure critical deadlines are met.
Confidentiality & Discretion: Manage highly sensitive and confidential management data with the utmost discretion integrity and professional judgment.
Financial & Systems Administration
PSA & Expense Management: Administer PSA processes including tracking executive timesheets and conducting rigorous reconciliation of corporate expenses.
E-Procurement & Invoice Allocation: Review verify and accurately allocate vendor invoice costs to appropriate business units using PSA E-Procurement systems.
External Partner Relations: Strategically liaise with external partners vendors and service providers to maintain strong working relationships and ensure service standards are met.
