About the Role:
We are looking for a detail-oriented Permitting and Licensing professional to support the back-office permitting and licensing function for a US retail this role you will process location permit and license applications and renewals maintain compliance trackers and coordinate with agencies and internal teams to keep every location operating in full compliance.
Key Responsibilities:
Prepare submit and follow up on location permit and license applications and renewals including business licenses food service licenses health department permits and certificates of occupancy.
Process food establishment and food handler permitting and track inspection requirements for each location.
Support new location acquisition paperwork ensuring permitting licensing zoning and occupancy tasks are completed for location openings.
Process sales tax permit and sellers permit registrations and assist with business tax receipt filings.
Assist with real property and business personal property filings and related submissions.
Where applicable support license applications and TABC (or equivalent state) compliance documentation.
Assist with ancillary permits such as outdoor seating / patio permits grease trap and waste disposal permits and music licensing (ASCAP / BMI).
Maintain and update permitting and licensing trackers renewal calendars and compliance deadlines across multiple states and locations.
Communicate with state and municipal agencies health departments and third-party expediters to obtain requirements check application status and resolve routine issues.
Maintain accurate audit-ready documentation and records for all permitting and licensing activity.
Escalate complex or non-routine matters to the senior permitting and licensing resource in a timely manner and follow established standard operating procedures (SOPs).
Requirements
1-2 years of experience in permitting licensing regulatory compliance or a related back-office function.
Working knowledge of U.S. retail permitting and licensing processes; exposure to multi-state requirements is preferred.
Experience preparing and submitting applications renewals and registrations such as business licenses food service licenses sales tax permits or DBA filings.
Strong organizational skills and the ability to manage multiple deadlines and renewal calendars accurately.
Strong Excel skills and good attention to detail in tracking and documentation.
Good written and verbal communication skills for coordinating with agencies and internal teams.
Preferred Skills:
Experience supporting a U.S. retail or franchise business.
Exposure to food service licensing health permits and certificate of occupancy processes.
Familiarity with new location acquisition and location opening paperwork.
BPO shared services or back-office outsourcing background.
Required Skills:
Qualifications: 1-5 years lease administration experience Proven experience in retail/commercial lease administration (portfolio environment preferred). Strong knowledge of rent schedules escalations CAM/NNN statement review and annual reconciliations. High attention to detail strong follow-through and ability to manage competing priorities. Clear professional communication skills with landlords and internal stakeholders. Comfort working with finance/AP processes and resolving payment exceptions. Experience with Leasing software Great Plains and AP ticketing/case workflows. Strong Excel/Sheets skills for tracking reconciliation and reporting.
