ORGANISATIONALCONTEXT:
The Job holder will report to the Head of Provincial Office Karachi withfunctional reporting to Head of Management Services Unit. At this level job
holders are expected to demonstrate responsibility and initiative to respond independently to queries with only general guidance. Job holders have a level
of expertise and knowledge to adapt and contribute to the development of systems and processes to continually improve the level of support provided.
Job holders are expected to use judgment in dealing with unforeseen dailyproblems manage resources and coach and coordinate a team of support staff.
JOB PURPOSE: To provide specialized support and coordinate the delivery of client-focusedand value-for-money services pertaining to the Management Services
portfolio.
KEY RESPONSIBILITIES (not all-inclusive nor exhaustive):
1. Coordinate administrative and technical support within the Management Services portfolio toensure efficient and high-quality service delivery.
2. Oversee day-to-day operations to ensure functionality cleanliness and safety of thepremises/facilities including maintenance and repair services while identifying improvements to
enhance service efficiency and cost-effectiveness.
3. Assist in procurement planning related to facilities and inventory needs.
4. Maintain coordination with vendors and internal units for timely processing of invoices throughITS for utilities fuel rental vehicles vehicle maintenance other local procurement through MPO.
5. Support office relocations renovations and space planning in collaboration with relevant teams.
6. Maintain records of lease agreements service contracts and compliance documentation.
7. Maintain accurate records of all office assets and consumables using approved inventory systems.
8. Conduct periodic physical verification of assets and reconcile discrepancies. Ensure propertagging tracking and reporting of assets in line with corporate policies.
9. Coordinate asset disposal processes including documentation and reporting as per corporateguidelines.
10. Utilize digital tools and technology applications to improve working practices and customerservice and effectively adopt new technologies that are introduced at the workplace.
11. Contribute to emergency preparedness and response by allocating resources offeringanalytics and providing services.
12. Any other task in line with the position level and expertise.
DESIRED EXPERIENCES FOR ENTRY INTO THE ROLE:
Minimum of 5 years of progressively responsible work experience in the field of Office
Administration Management Services Assets Facilities Fleet Management and other related areas of responsibilities.
Has experience in collating data and preparing reports pertaining to Management Services
portfolio such as management of Assets Facilities Fleet Travel or similar areas.
Has demonstrated a sound understanding of A d m i n i s t r a t i o n / Management
Services regulations policies procedures processes standards and systems at national
and/or international organizations especially working experience in humanitarian
organization managing Facilities and Assets.
Has experience in coordinating the work of others and providing guidance and training.
Has experience working with teams across different functional areas.
STANDARD MINIMUM ACADEMIC QUALIFICATIONS:
Education: Completion of secondary school education. A post-secondary certificate in the relatedfunctional area. University degree in Business/Public Administration FinanceEngineering or other relevant field relating to Administration Facilities and AssetsManagement is desirable.
Language: Fluency in both oral and written communication of English and Urdu languages.
