ORGANISATIONALCONTEXT:
The incumbent will report to the Head of Unit Management Services Officer.
At this level the incumbent is expected to take responsibility for completion
of a range of administrative activities requiring some interpretation of
standard guidelines/practices. The incumbent should be able to recommend
a course of action to staff at various levels.

JOB PURPOSE: To support effective delivery and maintenance of client-focused value-formoney oriented quality administrative practices.

KEY RESPONSIBILITIES (not all-inclusive nor exhaustive):
Under the direct supervision of the Management Services Officer the incumbent will perform
following duties.
1) Coordinate administrative and operational support within the Management Servicesportfolio to ensure efficient and high-quality service delivery.
2) Oversee office facilities including maintenance repairs vendor coordination lease andcontract management.
3) Manage office transport services including fuel monitoring and logbook management.
4) Coordinate procurement and invoice processing related to facilities fleet utilitiesmaintenance and inventory requirements.
5) Maintain accurate records of assets inventory contracts vehicles and otheradministrative documentation; conduct periodic verification and asset disposal in line
with corporate guidelines.
6) Collect analyze and report operational data to support resource managementdecision-making and performance monitoring.
7) Serve as the focal point for routine administrative and operational queries ensuringtimely resolution of issues.
8) Utilize digital tools to improve operational efficiency reporting record managementand customer service.
9) Support emergency preparedness and response activities and contribute to thecontinuous improvement of Management Services processes.
10) Perform other related duties as assigned in line with the position level and expertise.

STANDARD MINIMUM QUALIFICATIONS AND EXPERIENCE:
Education: Completion of secondary school education. A post-secondary certificate orBachelors degree in Business Administration Economics Commerce ArtsSocial Sciences or related functional area is desirable.
Experience: 5 years of progressively responsible work in the relative business stream withexperience in general administration work travel transportation inventoryfacilities especially with the UN or other International Organizations.
Has demonstrated an ability to perform all routine administrative activities inline with WFPs operating standards through day to day work.
Has supported in providing ad-hoc guidance to new staff members.

Knowledge &
Skills:
Proficient in the use of office equipment and computer softwarepackages.
Knowledge of work routines and methods in order to complete processesunder

minimal supervision.
Uses tact and courtesy to give and receive information to a wide range ofindividuals.
Ability to identify data discrepancies and rectify problems requiringattention.
Ability to offer guidance or basic on-the-job training to more junior staff
