Job Summary

Key Responsibilities

1. Operations Strategy & Leadership

  • Develop and execute the firms operational strategy in alignment with corporate objectives and business growth plans.
  • Establish operational policies governance frameworks and service standards across all operational functions.
  • Ensure operational activities support investment management business development and client servicing objectives.
  • Develop departmental budgets operational plans and resource allocation strategies.
  • Monitor departmental performance against approved KPIs and service standards.

2. Investment Operations & Fund Administration

  • Oversee operational support for all investment products and portfolios managed by the Company.
  • Ensure efficient processing of investment subscriptions redemptions transfers and distributions.
  • Coordinate investment settlement activities with custodians and counterparties.
  • Ensure timely processing of investment instructions received from Fund Managers.
  • Oversee fund administration activities in compliance with SEC Collective Investment Scheme Rules.

3. Client Operations & Investor Services

  • Oversee client onboarding and account administration processes.
  • Ensure compliance with KYC Customer Due Diligence (CDD) Enhanced Due Diligence (EDD) and AML/CFT requirements.
  • Ensure prompt resolution of investor enquiries and complaints.
  • Maintain high service standards throughout the client lifecycle.
  • Monitor service delivery performance and customer satisfaction metrics.

4. Trade Processing Settlement & Reconciliation

  • Oversee trade confirmations settlements reconciliations and cash management activities.
  • Ensure timely settlement of securities transactions.
  • Monitor settlement exceptions and implement corrective actions.
  • Ensure daily reconciliation of Custodian Accounts Investment Portfolios Bank Accounts Unit Holder Registers and Investment Transactions .
  • Maintain robust reconciliation controls.

5. Regulatory Compliance & Operational Governance

  • Ensure operational compliance with Investments and Securities Act (ISA) 2025 SEC Rules and Regulations AML/CFT Regulations NDPA and Corporate Governance requirements
  • Coordinate regulatory inspections and operational audits.
  • Ensure timely submission of operational reports to regulators.
  • Maintain accurate operational documentation and audit trails.

6. Operational Risk Management & Internal Controls

  • Develop and maintain operational risk registers.
  • Establish preventive and detective operational controls.
  • Monitor Key Risk Indicators (KRIs).
  • Strengthen maker-checker controls and authorization limits.
  • Support Business Continuity Planning (BCP) and Disaster Recovery (DR) initiatives.

7. Technology Automation & Process Improvement

  • Lead automation initiatives across Operations.
  • Improve operational efficiency through workflow optimization.
  • Support implementation of new investment platforms and digital products.
  • Collaborate with ICT teams on systems integration and enhancements.
  • Promote data quality and operational analytics.

8. Financial Control & Operational Reporting

  • Coordinate operational reporting across business units.
  • Review operational performance dashboards.
  • Monitor operational costs and efficiency metrics.
  • Support Finance in fund accounting NAV validation and reporting.
  • Ensure operational records are complete and accurate.

9. Stakeholder & Vendor Management

  • Manage relationships with SEC Trustees Custodians Banks Registrars External Auditors Technology Vendors and Fund Administrators
  • Monitor vendor performance against agreed SLAs.
  • Resolve operational issues with external service providers.

10. Leadership & People Management

  • Lead and develop a high-performing Operations team.
  • Establish departmental KPIs and performance expectations.
  • Conduct coaching mentoring and performance reviews.
  • Promote a culture of operational excellence accountability collaboration and continuous improvement.
  • Identify capability gaps and implement learning and development initiatives.



Requirements: Knowledge Skills and Abilities

Knowledge

  • Bachelors Degree in Finance Accounting Economics Business Administration Banking or a related discipline.
  • MBA or Masters degree is an added advantage.
  • Professional qualifications such as ACA ACCA CFA CIS CIMA or SEC-sponsored certifications are desirable.
  • Minimum of 810 years experience in asset management investment operations fund administration securities operations or financial services with at least 4 years in a leadership role.
  • Strong knowledge of: Investments and Securities Act (ISA) 2025 SEC Rules and Regulations Collective Investment Scheme (CIS) Rules Fund Administration Investment Operations Capital Market Operations AML/CFT Regulations KYC/CDD requirements and IFRS

Skills

  • Strong process design internal control and enterprise risk management skills.
  • Proficiency with portfolio/fund administration systems and financial reporting tools.
  • Effective regulator and stakeholder management including handling SEC inspections and correspondence.
  • Team leadership budgeting and vendor/service-provider management.

Abilities

  • Ability to lead large operational teams in a regulated financial services environment.
  • Ability to build collaborative relationships with regulators custodians trustees clients and internal stakeholders.
  • Demonstrate sound judgment integrity professionalism and a strong commitment to operational excellence and customer service.
  • Ability to make sound decisions under regulatory scrutiny and tight reporting deadlines.
  • Ability to manage complex multi-workstream operations across custody technology and compliance simultaneously.
  • Ability to lead organisational and process change as regulatory requirements evolve.
