Estate Management Officer
Job Summary
1. Tenant Management
- Serve as the primary point of contact for tenant inquiries complaints and service requests.
- Ensure timely resolution of issues and escalate complex technical problems to the Facility Manager and technical team.
- Monitor tenant compliance with lease terms and building rules.
2. Lease & Documentation Administration
- Manage all freehold and leasehold documentation including lease agreements renewals and terminations.
- Maintain accurate records of tenancy schedules rent reviews and service charge obligations.
3. Revenue & Rent Collection
- Track and collect rent and service charge payments in line with lease agreements.
- Follow up on arrears and provide regular revenue performance reports to management.
- Support the Facility Manager in identifying occupancy opportunities to reduce vacancy downtime.
4. Maintenance Liaison
- Act as the bridge between tenants and the technical/maintenance team.
- Log maintenance requests communicate timelines to tenants and follow up until resolution.
5. Property Inspections & Compliance
- Conduct regular property inspections to ensure upkeep safety and compliance with organizational standards.
- Identify maintenance needs or breaches of lease conditions and report accordingly.
6. Reporting & Budget Support
- Prepare tenancy reports service charge reconciliations and revenue updates for management.
- Assist the Facility Manager in budget preparation and cost control initiatives.
