Job Summary

Office Administration & Facilities

  • Oversee the day-to-day administration of the office ensuring a clean safe and well-maintained work environment.
  • Coordinate office maintenance repairs and facility-related service requests liaising with landlords artisans and service providers as needed.
  • Manage office supplies and consumables monitor stock levels raise requisitions and ensure timely replenishment.
  • Maintain and track Company assets (furniture equipment fittings) ensuring proper documentation and periodic verification.

Vendor & Procurement Support

  • Source and liaise with vendors and service providers for office and administrative needs obtaining quotations and ensuring value for money.
  • Track vendor contracts service agreements and renewal dates escalating lapses or issues promptly.
  • Process invoices and payment requests related to administrative expenses in line with Company procurement policy.

Fleet Management

  • Coordinate the day-to-day management of Company vehicles including scheduling allocation and driver coordination.
  • Track vehicle documentation registration insurance road worthiness and permits ensuring timely renewal and full compliance.
  • Schedule and monitor routine and preventive vehicle maintenance servicing and repairs liaising with approved vendors/workshops.
  • Maintain accurate fleet records including mileage fuel consumption and maintenance history for each vehicle.
  • Monitor fuel usage and card allocations flagging irregularities and ensuring cost-effective utilization.
  • Investigate and document vehicle incidents accidents or violations and liaise with insurers as required.

Travel & Logistics Coordination

  • Coordinate staff travel arrangements including flight bookings hotel accommodation and ground transportation.
  • Support the planning and logistics of internal meetings trainings and Company events.

Records Correspondence & General Support

  • Maintain accurate and organized administrative records files and documentation both physical and electronic.
  • Manage incoming and outgoing correspondence courier services and front-desk/reception oversight.
  • Support other departments with administrative tasks as required ensuring timely turnaround.

Compliance & Reporting

  • Ensure compliance with Company administrative policies health and safety guidelines and relevant regulatory requirements.
  • Prepare periodic administrative reports including expense summaries and asset/inventory status for management review.
  • Perform any other duties as may be assigned by the line manager.


  • ./HND in Business Administration Office Management or a related discipline.
  • Minimum of 2-4 years experience in an administrative or office support role.
  • Experience in telecoms infrastructure or a similarly fast-paced sector is an added advantage.
  • Working knowledge of office management systems procedures and vendor management practices.
  • Familiarity with procurement and expense-retirement processes.
  • Working knowledge of fleet/vehicle management practices including maintenance scheduling and regulatory documentation.
  • Proficient in MS Office (Word Excel Outlook) and general office productivity tools.
  • Strong organizational skills with the ability to multitask and prioritize competing demands.
  • Excellent verbal and written communication skills.
  • High level of discretion integrity and professionalism in handling Company information and resources.
  • Good interpersonal skills with the ability to work effectively across departments and with external vendors.
  • Proactive detail-oriented and able to work with minimal supervision.
