Our client is a premier assisted living operator managing approximately 20 locations across Michigan Ohio and Pennsylvania. We are dedicated to providing high-quality care for seniors and are currently expanding our Monterrey-based operations hub.
In the healthcare and assisted living industry consistent and compliant staffing is the backbone of exceptional resident care. As an Employee Scheduling Assistant you will serve as a critical operational pillar working closely with Facility Administrators Nursing Directors and the Executive Team to ensure our US-based facilities are optimally staffed every single day.
Key Responsibilities
Roster Management: Create maintain and optimize daily weekly and monthly work schedules for healthcare staff (nurses caregivers and support staff) across multiple US locations.
Shift Coverage & Tracking: Efficiently manage call-outs last-minute absences and vacation requests finding immediate qualified coverage to maintain required staff-to-resident ratios.
Compliance & Labor Management: Monitor schedules to ensure alignment with labor laws healthcare staffing regulations and company policies actively working to minimize unnecessary overtime costs.
Cross-Border Communication: Serve as the primary point of contact for US facility leadership regarding staffing updates leveraging clear and empathetic communication.
System Management: Utilize and maintain the companys workforce management software to track attendance shift swaps and punctuality ensuring data integrity for payroll processing.
Qualifications & Skills
Experience: 2 years of experience in administrative operations workforce scheduling or HR support (experience in US healthcare or hospitality scheduling is a strong plus).
Language Skills: High proficiency in English (both written and verbal) is required as you will interact daily with US-based management.
Technical Proficiency: Experience with workforce management software (e.g. Kronos Deputy Shiftboard Homebase) and standard office tools (Microsoft Excel/Google Sheets).
Soft Skills: Outstanding organizational skills sharp problem-solving abilities under pressure and a high level of empathy and professionalism.
Location requirement: Ability to work full-time onsite at our Monterrey Mexico office.
