As a Personal Assistant / Executive Assistant to the General Manager you will provide high-level administrative organisational and operational support ensuring the smooth and efficient management of day-to-day executive activities.
This is a key position within the organisation requiring professionalism discretion initiative and the ability to manage multiple priorities.
- Provide comprehensive administrative and secretarial support to the General Manager.
- Manage and coordinate the General Managers calendar appointments meetings and daily schedule.
- Prepare meeting agendas reports presentations and supporting documentation.
- Draft review and manage correspondence emails and business communications.
- Act as a key point of contact between the General Manager and internal and external stakeholders.
- Screen and handle incoming calls emails and enquiries professionally and efficiently.
- Organise meetings conferences and travel arrangements including overseas travel when required.
- Maintain accurate filing systems and confidential records.
- Assist with special projects and day-to-day business operations as required.
- Anticipate the needs of the General Manager and proactively provide support to ensure efficiency and productivity.
- Minimum of 3 years experience in a Personal Assistant Executive Assistant or similar administrative support role.
- A minimum of A-Level standard education.
- Excellent communication skills in both English and Maltese written and spoken.
- Strong organisational planning and multitasking abilities.
- Exceptional attention to detail and commitment to producing accurate professional work.
- Ability to work independently use initiative and exercise sound judgement.
- Strong problem-solving skills and a proactive approach.
- Ability to perform effectively under pressure and manage competing priorities.
- Excellent interpersonal skills and the ability to build strong working relationships with stakeholders at all levels.
- Advanced proficiency in Microsoft Office applications including Outlook Word Excel and PowerPoint.
