DFK Malta in partnership with one of our clients is seeking a highly organised and proactive Personal Assistant / Executive Assistant to support the General Manager and contribute to the continued growth of a well-established and successful business in Malta.

The Role
As a Personal Assistant / Executive Assistant to the General Manager you will provide high-level administrative organisational and operational support ensuring the smooth and efficient management of day-to-day executive activities.
This is a key position within the organisation requiring professionalism discretion initiative and the ability to manage multiple priorities.
Key Responsibilities
Provide comprehensive administrative and secretarial support to the General Manager.
Manage and coordinate the General Managers calendar appointments meetings and daily schedule.
Prepare meeting agendas reports presentations and supporting documentation.
Draft review and manage correspondence emails and business communications.
Act as a key point of contact between the General Manager and internal and external stakeholders.
Screen and handle incoming calls emails and enquiries professionally and efficiently.
Organise meetings conferences and travel arrangements including overseas travel when required.
Maintain accurate filing systems and confidential records.
Assist with special projects and day-to-day business operations as required.
Anticipate the needs of the General Manager and proactively provide support to ensure efficiency and productivity.
Requirements
Minimum of 3 years experience in a Personal Assistant Executive Assistant or similar administrative support role.
A minimum of A-Level standard education.
Excellent communication skills in both English and Maltese written and spoken.
Strong organisational planning and multitasking abilities.
Exceptional attention to detail and commitment to producing accurate professional work.
Ability to work independently use initiative and exercise sound judgement.
Strong problem-solving skills and a proactive approach.
Ability to perform effectively under pressure and manage competing priorities.
Excellent interpersonal skills and the ability to build strong working relationships with stakeholders at all levels.
Advanced proficiency in Microsoft Office applications including Outlook Word Excel and PowerPoint.
High level of professionalism discretion and confidentiality.
