Global Business Services (GBS) is an in-house service provider specializing in HR Finance and Technology for Wilhelmsen - providing high quality scalable reliable solutions that drive efficiency enhance customer experience andcost-efficient business support services.
Main Responsibilities
Alerts department with due dates of Vessel Manager visits and reports.
Upkeep of vessel instruction books/manuals / drawings and ensures they are kept in designatedshelves.
Maintains a record of all circulars sent to vessels by Department head.
Assists in vessel takeover/handover / flag change procedures.
Performs secretarial functions as required and other tasks as designated by GM.
Downloads and forwards Class listings to vessel and Vessel Manager monthly.
Verifies that Quarterly reports from vessels are received in time and maintains record.
Verifies Monthly reports such as Defect list Inspection follow up reports received timely from vesselsand informs in case of non-closure.
Undertakes proper filing of vessels certificates in Office.
Assists in preparation of marketing material and Budgets for new business.
Assists in keeping track of Vessel inspection plan and activity.
Compiles data from Docmap and Maintenance records (From Bassnet).
Monitoring Deck Engine monthly report which reflected in LNG/LPG Group sharing folder.
Daily checking and monitoring PMS critical environmentally critical and stand-by critical items which
overdue especially for office audit purpose. Ensure maintenances job completed accordingly by onboard especially for critical items.
Monitor Critical Spare part inventory closely for each vessel and alert if any part is missing. Follow upuntil inventory updated.
Periodically monitor job reports within Bassnet from vessel and revert to vessels for in-completereporting. Follow-up maintenance job documentation with vessel once completed.
Assist General Manager in making projects and budget proposals.
Assist Vessel Manager in implementing inventory management projects within Bassnet for fleetvessels if required.
Suggest improvement for maintenances documentation part in Bassnet if any.
Confirm reporting of jobs within Bassnet post dry-docking of vessels- by liaising with Master and CEs.
Follow-up Bassnet replication issues with Vessel IT if any problem on board.
Confirm vessel implement the maintenance work on time and surveys onboard ship.
To collate/coordinate and provide relevant information that is required for the GM to report at variousmeetings.
To collate and input statistics into various reporting mechanisms.
To organize and arrange key meetings on behalf of the GM as and when required.
To coordinate/liaise with various internal functions (e.g. Finance etc) information that is required fromor by key managers.
To coordinate with HR & Admin on various logistic arrangements as required by the GM.
To provide any other information as and when required to be sent to key stakeholders.
