Job Summary

Our client is a management consulting firm from Japan which specializes in corporate growth business restructuring and management advisory.

They are seeking a proactive and detail-oriented Contract Administrative to provide administrative and coordination support to the Managing Director and ensure the smooth day-to-day operation of the office. This role is ideal for an organized individual who is able to manage multiple priorities communicate effectively in English and work independently in a fast-paced environment.

Key Responsibilities:

  • Manage the Managing Directors meeting schedules appointments and calendar arrangements.
  • Monitor and verify employees expense claims and attendance records.
  • Conduct basic research and gather information to support business and operational requirements.
  • Follow up on the progress of contracts billing and cash collection matters to ensure timely completion.
  • Coordinate and facilitate communication with internal departments and support general office management activities.
  • Handle communication and correspondence with the clients headquarters (HQ) in English.
  • Prepare administrative documents reports and meeting materials as required.
  • Maintain organized records and ensure proper filing of documents.
  • Perform other administrative and ad-hoc duties assigned by management.

Requirement:

  • Diploma or Bachelors Degree in Business Administration Management or a related discipline.
  • Minimum 2 years of relevant administrative or office support experience.
  • Good command of spoken and written English and Bahasa Malaysia.
  • Proficient in Microsoft Office applications (Word Excel PowerPoint and Outlook).
  • Strong organizational coordination and time management skills.
  • Detail-oriented with good problem-solving abilities and the ability to handle confidential information professionally.
  • Able to work independently while maintaining effective communication with internal and external stakeholders.
