This is a full-time position that would require working out of our downtown Atlanta office Mon-Thursday, and everyone works remotely on Friday.

Provides administrative support for the Chief Executive Officer, Chief Financial Officer/Chief Operation Officer, and Board of Directors. Performs complex and confidential administrative functions including meeting preparation; preparing agendas, notices, minutes, and resolutions for corporate meetings and budget preparation and travel arrangements. Maintains the master copy of all corporate governing documents and manuals. Handles confidential and non-routine information and explains corporate policies when necessary.

  • Provides administrative support for Executive Staff; Chief Executive Officer and Chief Financial Officer.
  • Provides administrative support to both governing bodies of the association: The Board of Directors and Council. Maintains confidentiality of all corporate matters.
  • Manages logistics for all Board of Directors meetings. Under the direction of The Chairman of the Board and Chief Executive Officer, prepares agendas, and distributes them to appropriate participants. Prepares materials sent to board members prior to the meeting. Prepares and distributes the minutes taken at all corporate meetings including Board of Directors meetings, meetings of the Executive Committee of the Board, and bi-weekly Senior Staff meetings. Prepares additional correspondence as needed.
  • Responsible for the maintenance and distribution of the associations Bylaws and Board Policy Manual. Ensures all changes to these documents are correctly uploaded to the Document Vault.
  • Maintains and updates the central filing system. Locates and retrieves information when needed. Ensures that confidential and highly sensitive information remains protected.
  • Arranges complex and detailed travel arrangements for the CEO and CFO/COO.
  • Assists in preparing annual budgets for the Board of Directors, and Council.
  • Updates and maintains the Committee Handbook and Leadership Directory.
  • Maintains and prepares items needed to keep Trademarks in effect.
  • Coordinates and distributes bi-weekly department reports to the Board of Directors.
  • Coordinates several functions at the companys annual convention: handling all aspects of the Lifetime Achievement Award, the Board Spouse luncheon, and procurement of all company awards.

The right person for this job will be naturally cheerful, contagiously upbeat, and perpetually positive - the type of person who enjoys working with highly engaged co-workers. This individual is not intimidated by constructive give-and-take and understands the significance of representing the associations executive leadership to staff, board of directors, volunteers, and others.

He/she is highly organized with excellent follow-up skills, along with a sense of urgency to get things done efficiently and correctly. The new Executive Assistant has excellent verbal and written communication skills and a highly focused attention to detail. Basic computer skills (Microsoft Office) are necessary, as is the ability to learn and utilize in-house software applications. Must have knowledge of secretarial, office administrative procedures, and knowledge of use and operation of standard office equipment, at a level generally acquired through 5+ years of related experience.

Must have a high level of interpersonal skills to handle sensitive and confidential situations. The position continually requires demonstrated poise, tact, and diplomacy. Must be able to interact and communicate with individuals at all levels of the organization.



Requirements


  • 4-year College Degree or equivalent training.
  • 5+ years of experience in the areas of administrative support/services preferred.
