ABOUT US:

Shaken Not Stirred is a company founded in 2019 whose mission is to empower future generations by developing and implementing education projects. Shaken s founding partners are the team that developed the Nova SBE campus in Carcavelos, managing everything from the construction to the fundraising to the actual implementation. Nowadays, Shaken acts as an umbrella company for three big education projects: 42, TUMO and Miles in the Sky.

42 is one of the best coding schools in the world, with more than 40 campuses in over 20 countries worldwide. It is an inclusive school open to anyone regardless of academic background or professional experience: applicants only need to have at least 17 years old and have a huge will to learn. The school uses a disruptive learning approach based on a peer-to-peer, project-based learning method. There are no teachers or schedules, and the whole program is totally free sponsored by several individual and corporate benefactors. The whole program takes place physically in the school, which is open 24 hours, 365 days a week for students to be able to come in and work whenever they want to. 42 Lisboa opened in October 2020 and currently has around 500 students. 42 Porto opened in July 2022 and currently has 250 students.

Tumo is a free of charge after-school program, aimed at children between the ages of 12 and 18, that originated in Armenia and is nowadays present in almost 10 countries. Students can select from 8 areas (robotics, game development, programming, animation, photography, cinema, music and graphic design) and learn at Tumo Centers through a mix of self-learning activities and workshops led by experts on each field. Our project involves opening around 10 Tumo centers spread throughout the country within the next few years, with the first one having opened in September 2023 in Coimbra.

Miles in the Sky is an edtech startup created to empower individuals to acquire relevant skills they need to succeed. To accomplish this, Miles has been developing a learning platform based on three core education principles: challenge-based, peer-to-peer and AI-based learning. All of this while being scalable: an online model, mostly asynchronous despite the heavy community interaction program, with minimal experts intervention. We have a few programs of our own and we also work with other entities to help them create their programs using our platform and our learning model. Miles has completed a funding round of 1.5M led by Armilar at the beginning of 2023.

The 4 companies, with a total team of almost 50 people right now, are headquartered in Lisbon, at 42 Lisboa, located at Rua Neves Ferreira, n 13, where you can find a relaxed environment with a dynamic community of more than 150 students every day, our very own ping pong table, plenty of lounge space to work around, a rooftop with an amazing view over Lisbon and more than 2 000 sqm to explore. We also have a small team based in Porto and another small team based in Coimbra.

ROLE AND RESPONSIBILITIES:

We are looking for a Facilities & Office Administrator to work with the Head of Business Operations as part of the group s CFO team. This role entails comprehensive management of facilities and the provision of essential logistical support for events and operations in our Lisboa location. These responsibilities include, but are not limited to:

  • Facilities and Office Management:__

o Coordinate and oversee various external service providers, such as cleaning, security, and vending machine services

o Ensure proper usage of school facilities and equipment, maintaining office conditions, and coordinating necessary repairs

o Guarantee legal compliance for the facilities

o Purchase goods and services as required by different teams

o Manage and organize office administrative tasks, including mail, filing, documentation, stationery, and orders

o Provide operational support as needed, including making travel and restaurant reservations, organizing meetings or meals when necessary (with clients, suppliers, or team members)

__

  • Logistical Support for Events:__

o Provide comprehensive logistics support for events, collaborating closely with the Communication Team

o Liaise with external entities to gather their specific event need prior to the event

o Provide all the necessary on-site support during events.

SKILLS AND REQUIREMENTS:

  • Relevant professional experience in administrative roles
  • Tech-savvy, proficient in tools like Slack, Notion, shared calendars, and other similar platforms
  • Proactive with a 'doer' mindset
  • Ability to work autonomously
  • Effective communication and collaboration with diverse stakeholders, including students, corporate partners, staff, and suppliers
  • Adaptability to a comfortable and informal workplace environment
  • Fluency in Portuguese and a decent level of written and spoken English
