- Assess and prioritize Director s emails drafting responses when necessary and ensuring timely followup
on important messages.
2. Arrange meetings appointments and conference calls for the Director liaising with internal and
external stakeholders to find suitable time slots.
3. Assist in scheduling meetings with prospective clients partners and stakeholders ensuring all relevant
parties are informed and prepared.
4. Prepare agendas take minutes and maintain records of meetings. Ensure action items are
documented and followed up on.
5. Set reminders for important deadlines tasks and events. Keep track of the Directors priorities and ensure
timely completion of assignments.
6. Organize and maintain digital and physical files including confidential information and sensitive
documents.
7. Make travel arrangements including booking flights hotels and transportation and preparing
travel itineraries.
8. Serve as a point of contact between the Director and clients and external partners conveying messages
accurately and promptly.
9. Handle sensitive information with discretion and maintain confidentiality at all times.

1. Ability to manage multiple tasks deadlines and priorities effectively.
2. Excellent verbal and written communication skills with the ability to convey information clearly and
professionally.
3. Strong focus on accuracy and thoroughness in all tasks including email correspondence meeting
preparation and document management.
4. Flexibility to adjust to changing priorities and work assignments and willingness to take on new
responsibilities as needed
5. Capacity to analyze situations evaluate options and make wellinformed decisions to support the
Directors objectives.
