Job Information and Responsibilities

Under the direction of the Managing Director the Operations Support Specialist will:

Administrative and Operational Management:

  • Handle administrative documentation including honorarium reimbursement payroll CEAC and fixed remuneration forms.
  • Coordinate facility requests such as furniture arrangements office maintenance repairs and painting.
  • Monitor and manage the Centres general email facilitating effective communication internally and externally
  • Maintain and regularly update Centre records and documentation on Microsoft Teams including financial data contracts and event details.
  • Manage and prepare Centre Vena financial reports.
  • In collaboration with the Communications Officer draft and format documents such as annual reports job postings and research plans adhering to university guidelines.
  • Organize and maintain office storage spaces and manage supplies inventory including purchasing office materials.
  • Oversee subscriptions and licenses (e.g. Canva Pro Docusign NVivo Qualtrics)

Event Planning and Execution:

  • Plan coordinate and execute Centre events independently or collaboratively including logistics such as venue booking catering audiovisual needs invitations and attendee management.
  • Handle special event components such as securing guest speakers coordinating travel and accommodations managing honorariums and gifts and overseeing promotional activities.
  • Participate in event committees and collaborate with external partners (e.g. Athletics CSIA Sobey School of Business) to enhance event success and Centre visibility.

Project Management and Development:

  • Develop and manage comprehensive project plans timelines and deliverables to ensure successful completion of Centre initiatives.
  • Coordinate cross-functional teams delegating tasks effectively and ensuring all project contributors meet established deadlines.
  • Track project milestones and deliverables using appropriate tools
  • Identify potential risks or challenges within projects and proactively develop contingency plans to mitigate disruptions.
  • Lead regular project update meetings providing clear communication on project status to all stakeholders.
  • Prepare and maintain accurate records documentation and reports related to ongoing projects for reporting and transparency.
  • Contribute to grant and funding applications including drafting content managing supporting documents and coordinating submissions.
  • Conduct research and gather data to support project planning proposals and strategic initiatives.
  • Evaluate completed projects for effectiveness and efficiency providing recommendations for continuous improvement.
  • Support strategic planning efforts by developing frameworks conducting needs assessments and identifying resource requirements.

Experience and Education Requirements

To be the successful Operations Support Specialist you will have:

Education:

  • A bachelors degree in social sciences humanities or a sport studies field

Experience:

  • Demonstrated experience in administrative support operations or project coordination
  • Experience in planning and executing events projects or programs with the ability to manage timelines logistics and multiple stakeholders
  • Familiarity with the university ecosystem including working with students faculty and campus partners is considered an asset

Assets:

  • Experience as a varsity athlete or direct involvement in competitive sport environments
  • Knowledge of the Canadian provincial and/or national sport system including governing bodies pathways and stakeholder structures
  • Demonstrated interest or involvement in wellness well-being sport participation or athlete development initiatives
  • A genuine passion for sport and an understanding of the student-athlete experience and the broader sport landscape
