The Warehouse Inbound Office Administrator plays a critical role in supporting inbound logistics operations. This position is responsible for coordinating incoming deliveries ensuring accurate documentation maintaining inventory records and supporting communication between warehouse teams transport providers and suppliers.
Inbound Coordination
- Schedule and manage inbound deliveries and booking slots
- Liaise with transport companies suppliers and drivers regarding delivery times and requirements
- Monitor delivery queues and ensure efficient unloading processes
Administration & Documentation
- Process Goods Received Notes (GRNs) accurately and in a timely manner
- Verify delivery paperwork against purchase orders and system records
- Maintain accurate inbound records within the Warehouse Management System (WMS)
- File and archive delivery documentation in line with company procedures
Inventory Control Support
- Assist with stock reconciliation and discrepancy investigation
- Report damaged missing or incorrect goods
- Support cycle counts and inventory audits as required
Communication & Coordination
- Act as the main point of contact for inbound queries across warehouse and office teams
- Work closely with goods-in operatives to ensure smooth inbound flow
- Escalate delays issues or discrepancies to relevant stakeholders
Systems & Data Entry
- Accurately input and update data in internal systems
- Generate reports on inbound performance delivery volumes and issues
- Ensure compliance with company processes and data accuracy standards
Health & Safety & Compliance
- Follow all health and safety procedures within the warehouse environment
- Ensure compliance with company policies and regulatory requirements
- Support audits and continuous improvement initiatives
Skills & Experience Required
Essential
- Previous experience in a warehouse administration or logistics support role
- Strong organisational and time management skills
- High level of accuracy and attention to detail
- Good communication skills (written and verbal)
- IT literacy including Microsoft Office (Excel Outlook)
- Experience using Warehouse Management Systems (WMS)
Desirable
- Experience within a fast-paced distribution or fulfilment environment
- Knowledge of transport planning or supply chain processes
- Understanding of stock control and inventory processes
