Description

Mission: The Link works with youth and young families to overcome the impacts of poverty and social injustice. Our 23 programs provide supportive housing intensive case management services and skills development to youth at risk of or experiencing homelessness sex trafficking and/or involvement in the juvenile justice system. The Link prides itself on its innovative youth-centered strengths-based programming for youth and families as well as programs that are co-designed implemented and overseen by youth.


Position Specifics

  • Hiring Salary Range: $20.24-$23.00 /hour based on qualifications
  • Job Type: Full-Time Non-Exempt
  • Location: Minneapolis MN
  • Hours/Days: Mon-Fri 9:00AM-5:00PM

BASIC FUNCTION

This position serves as a central support role in creating and maintaining a welcoming efficient and professional environment for staff youth visitors and addition to managing day-to-day building and supply needs the role provides essential technology systems and operational support to the IT and Operations Manager and the Human Resources Director. The receptionist ensures smooth organizational operations by coordinating administrative tasks supporting technology workflows and helping maintain reliable office and facility systems.


ESSENTIAL FUNCTIONS

  • Answers all incoming calls and directs them appropriately.
  • Monitor secure entry and provide access to visitors to the Glenwood Office.
  • Greet all visitors in a warm and welcoming manner.
  • Assists with deliveries site visits visitors tours etc.
  • Processes all mail and receives packages.
  • Order office supplies and maintain inventory.
  • Order business cards and create badges.
  • Manages and updates the organizations phone lists.
  • Updates phone extensions and staff lists as needed.
  • Prepare meeting agendas as needed.
  • Manage the Outlook calendars for leadership and conference rooms.
  • Manage calendars for common rooms.
  • Assists in meeting preparation by ordering food as necessary setting up seating etc.
  • Cleans and organizes front desk and common areas.
  • Cleans and organizes the kitchen area by washing dishes cleaning staff refrigerator and wiping down countertops and tables.
  • Minor office maintenance changing lightbulbs and furnace filters watering plants taking out recycling etc.
  • Keeps sidewalks clear as needed (i.e. shoveling snow removing ice).
  • Maintain confidential client/participant information.
  • Assists HR with job postings and other tasks as directed.
  • Provide Microsoft 365 and Cyber security Training for new staff onboarding (training provided)
  • Assist IT and Operations manager with IT inventory and maintenance.
  • Be responsible for the ordering setup and maintaining of staff cell phones and the (MDM) program to run them.
  • Open and close office using security protocols
  • Find and maintain vendors and vendor relationships.
  • Administering and supervising vendor accounts for staff.
  • Coordinating special orders with the case managers and Development team.
  • Regular and consistent attendance is required.

Requirements

KNOWLEDGE SKILLS AND ABILITIES

QUALIFICATIONS

  • Experience working with homeless or at-risk populations preferred.
  • Knowledge of child welfare systems and community resources preferred
  • Prior customer service or receptionist experience preferred
  • Computer application proficiency including Microsoft Outlook Word Excel and PowerPoint
  • Experience with office equipment such as photocopier fax scanner etc.
  • Completion and satisfactory results of a pre-employment criminal background screening

WORKING CONDITIONS

  • Requires frequent use of repetitive motion activities including typing on a computer keyboard and mailing and packet assembly
  • Frequently requires the ability to work for several hours at a time at a desk and computer
  • Requires frequent verbal communication in the form of public speaking in front of groups
  • Requires frequent lifting carrying or otherwise moving and positioning objects weighing up to 25 pounds when stocking organizational supplies
  • Requires frequent use of a telephone to provide information in a clear and understandable manner to callers
  • Workspace is located in an open lobby area which can occasionally be loud or disruptive
  • Maintains a professional appearance appropriate to the work environment

To that end The Link will ensure all new hires are offered the highest wage they are eligible to receive within the positions hiring range based on their years of relevant professional experience lived experience and relevant degrees and licensures. The Link has a no negotiation policy which means candidates should not have to negotiate their way to a fair wage for their skills and experience and will automatically be given the highest wage they are eligible for based on their qualifications.
