Job Summary

The office of Harb Gill Member of Parliament for Windsor West is seeking a full-time Office Manager.

The Office Manager is responsible for the day-to-day operations of the office and provides administrative and executive-level support to the Member. This key role ensures the smooth functioning of internal operations human resources and financial management while supporting the parliamentary and constituency priorities. The ideal candidate is highly organized proactive and comfortable managing multiple responsibilities in a fastpaced environment.

This role requires long demanding and unpredictable hours including evenings and weekends. Travel between Ottawa and Windsor is required. 

Office Management and Operations

  • Oversee the daily operations of the office.
  • Provides a comprehensive administrative casework and research support service.
  • Develop implement and maintain efficient administrative and office procedures.
  • Coordinate organize and execute internal meetings and events.
  • Develop and maintain relationships with constituents community organizations and local stakeholders.
  • When required respond to general enquiries and provide front-line support.

Staff and Budget Management

  • Provides direction and support to employees serves as a liaison between the Member and staff where necessary particularly in day-to-day problem solving and troubleshooting.
  • Ensure adherence to House of Commons policies in regard to human resources and financial management.
  • Assist with budget management including expense tracking invoicing and basic financial reporting.

Executive Assistance

  • Provide direct executive support to the Member of Parliament including calendar management email coordination and document preparation.
  • Organize and coordinate meetings prepare agendas take minutes and follow up on action items.
  • Handle sensitive and confidential information with discretion and professionalism.

Communications and Outreach

  • Assist in planning and executing communications strategies public outreach initiatives and community engagement activities.
  • Coordinate and support social media content digital communications newsletters and public messaging as needed.
  • Assist with media relations including responding to inquiries organizing interviews and preparing briefing materials.
  • Support the planning and promotion of announcements press conferences stakeholder meetings and community events as required.
  • Monitor local issues media coverage and community concerns to support proactive engagement and timely communications.
  • Work collaboratively to ensure consistent messaging across parliamentary constituency and community activities.

 


Qualifications :

Education:

  • Education and/or relevant experience in communications media research public service or a related field.

Experiences:

  • Customer service experience with the public focused on clear respectful and solution-oriented communication.
  • Experience managing employees and supporting recruitment processes.
  • Experience with budget management and financial administration.
  • Experience using email systems and managing database.
  • Exceptional written oral and interpersonal communication skills.
  • Proven ability to manage multiple priorities and meet deadlines in demanding fast-paced environments.
  • Strong understanding of the Canadian parliamentary system and alignment with the values of the Conservative Party of Canada.

Skills:

  • Passion for helping people and improving the community of Windsor West.
  • Strong organizational time management and problem-solving skills; self-motivated and adaptable.
  • Ability to adapt to changing priorities and work effectively independently and collaboratively.
  • Demonstrate professionalism discretion and a strong commitment to confidentiality.
  • Strong analytical skills attention to detail and good judgment.
  • Ability to remain flexible and effective under pressure while responding to changing priorities and short-term demands.

Assets:

  • Familiarity with the communities of Windsor West.
  • Familiarity with design tools such as Publisher and Adobe Photoshop.
  • Experience in parliamentary or academic research.

Additional Information :

Salary to be negotiated commensurate with experience and qualifications.
