Ergons ISL Business Segment has an opening for an Executive Assistant based at its corporate headquarters in Flowood MS. Ergon is a family-owned company based in the Jackson MS area with facilities across the U.S.
The Executive Assistant provides high-level administrative and operational support to multiple senior leaders within Ergons Integrated Services & Logistics (IS&L) segment. This role supports a dynamic leadership team including executives with enterprise-wide responsibilities and board-level engagement.
This position requires a high degree of professionalism discretion and executive presence along with the ability to anticipate needs manage competing priorities and operate effectively in a fast-paced highly visible environment. The Executive Assistant will also collaborate regularly with the EVP of IS&Ls Executive Administrative Assistant to ensure alignment across leadership priorities coordination of schedules and seamless support of executive-level initiatives. A critical aspect of this role is maintaining strict confidentiality while handling sensitive business matters and communications. - Five plus years of experience supporting senior-level executives preferably in a multi-leader or corporate environment.
- Demonstrated ability to interact professionally with executive leadership board members and external stakeholders.
- Strong communication organizational and interpersonal skills.
- A self-starter with the ability to work with minimal supervision anticipate needs and proactively manage responsibilities.
- Proven ability to manage multiple priorities with a high level of accuracy and attention to detail.
- Experience in complex calendar management travel coordination and executive communications.
- Proficiency in Microsoft Office and other office software suites.
- High level of tact discretion and integrity due to frequent exposure to confidential and sensitive information.
- Ability to adapt quickly and maintain composure in a fast-paced high-demand environment.
- A high school diploma or equivalent is required. (A college degree is preferred.)
- Regular and predictable attendance is a requirement for this position.
Responsibilities:
- Performs a wide range of administrative and executive support duties of a highly responsible and confidential nature.
- Provides direct support to multiple IS&L leaders managing shifting priorities and ensuring alignment across leadership schedules and initiatives.
- Partners with the Executive Vice President of IS&Ls Executive Administrative Assistant to coordinate leadership activities align priorities and ensure seamless execution of executive-level initiatives.
- Manages complex calendars and coordinates meetings across senior leadership cross-functional teams and external stakeholders including board-level engagements; resolves conflicts and prioritizes critical business needs.
- Prepares executive-level materials including agendas presentations and briefing documents; captures and distributes meeting notes and action items.
- Coordinates communication scheduling and logistics across departments and business units to support leadership effectiveness.
- Handles administrative and operational functions including document preparation invoice coding and tracking file and records management budget tracking and AFE (funding request) management and reporting.
- Coordinates travel arrangements meeting logistics and event planning including hotel accommodations and meeting space reservations.
- Maintains tracking reporting and data management using Excel and other tools to support leadership decision-making.
- Composes and edits routine and non-routine correspondence and serves as a professional point of contact for internal and external stakeholders.
- Maintains office operations including supplies and equipment oversight.
- Works accurately and productively with competing priorities and tight deadlines.
- Performs other duties as assigned.
