Primary Purpose:
Responsible for maintaining records on all special education students in the special education
eligibility folders and entering required data into the special education management system.
Communicate notices and other documentation with relevant parties.
Qualifications:
Education/Certification:
High school diploma or GED
Candidate must have satisfactory outcome of fingerprinting background check. Non-
refundable fee (approximately $50.00) paid by the employee
Special Knowledge/Skills:
- Proficient keyboarding skills
- Effective organization communication and interpersonal skills
- Ability to follow written instructions
- Ability to operate multi-line phone system
- Ability to use personal computer and software to develop spreadsheets and databases
- and do word processing
Experience:
Three years clerical experience in office or school setting
Major Responsibilities and Duties
- Provide clerical and documentation support related to special education processes including
- ARD documentation parent notices evaluation paperwork compliance records and required
- campus or department reporting.
- Maintain accurate and current special education eligibility records in accordance with district
- state and federal requirements.
- Enter update and maintain accurate student data within the districts special education
- management systems including Frontline and other district-required platforms.
- Process and monitor student referrals transfers inactive records and enrollment changes
- within special education management systems and coordinate transfer requests with central
- office staff.
- Assist with T-REX records requests Frontline transfer requests and records requests from
- campuses districts agencies and parents in accordance with confidentiality requirements.
- Maintain accurate campus special education rosters caseload reports service logs
- transportation records and other reports necessary for program management and compliance
- monitoring.
- Assist with PEIMS coding verification and reconciliation by comparing PEIMS reports with
- special education management system data to ensure accuracy and compliance.
- Support Social Security compliance documentation and other required state and federal
- reporting processes related to special education services.
- Assist with SHARS-related clerical processes documentation tracking and coordination of
- required data entry.
- Coordinate and maintain records related to special education transportation services and
- transportation supplements.
- Assist with Frontline access requests and campus staff access coordination as assigned.
- Attend district meetings trainings and professional development sessions to remain current
- on special education procedures reporting requirements compliance updates and district
- expectations.
- Maintain strict confidentiality of student information and records in accordance with FERPA
- IDEA HIPAA (as applicable) and district procedures.
- Adhere to all district local state and federal policies procedures and timelines related to
- special education services and documentation.
- Perform other duties as assigned by the Director of Special Education to support student
- success and compliance.

Posture:Prolonged sitting; occasional standing walking bending/stooping pushing/pulling
